Position: Customer Service & Sales Support VA (Pressure & Soft Washing)
Location: Remote | Full-Time

We are looking for a reliable and proactive Customer Service & Sales Support Virtual Assistant to handle inbound communication, manage leads, and keep operations running smoothly for a growing pressure and soft washing business.

This is a client-facing, phone-forward role where you'll be the first point of contact—providing a warm, human experience while ensuring fast response times and high conversion rates.

Key Responsibilities:

Inbound Communication

  • Answer incoming phone calls professionally
  • Respond quickly to texts, Facebook messages, website inquiries, and other leads
  • Provide a friendly, relationship-focused customer experience (no robotic replies)

Lead Management & Qualification

  • Collect key details from every inquiry (name, address, service type, photos/videos)
  • Enter and manage leads داخل Housecall Pro (CRM)
  • Keep job statuses updated and organized
  • Ensure fast response times to maintain high close rates

Quotes & Estimating Support

  • Prepare and send quotes based on:
    • Website form data
    • Photos/videos submitted by customers
    • Google Earth / Zillow references
  • Either assist with pricing or fully handle quoting based on clear guidelines
  • Flag complex jobs or unusual cases for review

Scheduling & Calendar Management

  • Book jobs and estimates directly into the calendar
  • Optimize scheduling for efficiency (routes, timing, job flow)
  • Ensure the field team has a clear, organized daily schedule

CRM & Administrative Support

  • Manage and update all activity in Housecall Pro
  • Track follow-ups and pipeline stages
  • Set up and manage follow-up systems for:
    • Unsold quotes
    • Repeat customers
  • Maintain inbox organization so no lead or message is missed

Customer Service & Retention

  • Build strong relationships with customers through friendly, professional communication
  • Ensure clients feel taken care of, increasing repeat business and referrals

Reporting

  • Send daily summary reports including:
    • New leads
    • Quotes sent
    • Jobs booked
    • Follow-ups completed
    • Any issues or items needing review

Requirements:

  • Proven experience in customer service, sales support, or virtual assistance
  • Strong phone communication skills with a clear, natural-sounding voice
  • Ability to build rapport and provide a personable, human touch
  • Highly organized with strong attention to detail
  • Ability to multitask and manage a high volume of inquiries
  • Experience with Housecall Pro or similar CRM is a plus
  • Comfortable using tools like Google Maps, Zillow, and basic online research for estimates
  • Proactive mindset with the ability to take ownership and solve problems independently
