Overview

We are seeking a detail-oriented and process-driven Bookkeeper & Accounting Specialist to support the financial operations of our growing Plumbing and HVAC business. This role will be responsible for bookkeeping, payroll support, accounts payable and receivable, cash flow tracking, reporting, and maintaining accurate financial records across QuickBooks Online and ServiceTitan.

The ideal candidate has strong bookkeeping experience, excellent organizational skills, and the ability to manage financial processes with accuracy and accountability.

Key Responsibilities

Bookkeeping & Accounting

  • Maintain accurate financial records in QuickBooks Online.
  • Record and manage journal entries.
  • Reconcile bank, credit card, and balance sheet accounts regularly.
  • Clean up, organize, and maintain accounting records.
  • Ensure proper coding and classification of transactions.
  • Support job costing and financial data synchronization between QuickBooks Online and ServiceTitan.

Payroll Support

  • Assist with payroll processing through QuickBooks Online.
  • Prepare payroll reports and enter payroll-related data.
  • Coordinate payroll activities and maintain accurate records.

Accounts Payable & Accounts Receivable

  • Manage vendor invoices and payment schedules.
  • Process and track accounts payable and receivable.
  • Match deposits and monitor cash flow activity.
  • Follow up on overdue invoices and collections.
  • Request missing invoices and supporting documentation as needed.

Reporting & KPI Tracking

  • Generate financial reports and operational KPIs from QuickBooks Online and ServiceTitan.
  • Prepare recurring reports for leadership review.
  • Monitor financial performance and identify discrepancies.
  • Ensure reports are accurate, organized, and delivered on time.

Qualifications

  • Strong bookkeeping and accounting experience.
  • Proficiency in QuickBooks Online, including payroll processing.
  • Experience with account reconciliations, AP/AR, and financial reporting.
  • ServiceTitan experience preferred; experience with similar home service CRM platforms is acceptable.
  • Strong understanding of cash flow management and financial processes.
  • High attention to detail and accuracy.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities and meet deadlines independently.

Preferred Experience

  • Experience working in the Plumbing, HVAC, or home services industry.
  • Familiarity with job costing, deposits, and service-based financial operations.
  • Experience creating financial reports and KPI dashboards.
