Position: Executive Assistant
Location: Remote | Full-Time (40 Hours/Week)

We are looking for a highly organized, proactive, and process-driven Executive Assistant to provide strong administrative and operational support. This role is ideal for someone who thrives in fast-paced environments, takes ownership, and can help create structure, accountability, and operational efficiency across the business.

The ideal candidate is detail-oriented, dependable, tech-savvy, and capable of growing alongside the company while helping remove operational bottlenecks from leadership.

Key Responsibilities:

Calendar, Time & Accountability Management

  • Manage calendars, schedules, and meeting coordination
  • Ensure meetings, appointments, and deadlines are not missed
  • Proactively provide reminders and keep leadership organized and on schedule

Inbox & Communication Management

  • Manage and organize incoming emails and communications
  • Triage operational updates, proposals, logistics, and administrative requests
  • Escalate only high-level decisions requiring leadership attention
  • Maintain organized communication workflows and follow-ups

Administrative & Operations Support

  • Handle operational overflow and administrative projects
  • Assist with compliance-related tasks, registrations, certifications, documentation, and related administrative processes
  • Prevent operational bottlenecks by owning follow-through and task completion

SOPs, Systems & Documentation

  • Create, organize, and improve SOPs and workflows
  • Build onboarding checklists, process documentation, and training materials
  • Document systems and operational procedures as processes evolve
  • Assist with KPI tracking and operational organization

CRM & Operational Systems

  • Work daily inside CRM platforms such as ServiceTitan, JobNimbus, or similar systems
  • Execute process-driven administrative and operational tasks
  • Participate in ongoing systems and CRM training to continuously improve efficiency

Presentation & Reporting Support

  • Build and maintain professional PowerPoint presentations and weekly meeting decks
  • Assist with internal reporting, meeting preparation, and organizational communication

Requirements:

  • Strong Executive Assistant, Operations, or Administrative experience
  • Excellent organizational and time-management skills
  • Strong written and verbal English communication
  • Highly proactive with strong accountability and follow-through
  • Detail-oriented and process-driven
  • Comfortable managing multiple priorities simultaneously
  • Experience with CRM systems such as ServiceTitan, JobNimbus, or similar platforms preferred
  • Strong proficiency in Google Workspace and Microsoft Office/PowerPoint
