Position: Office Manager / Warranty Coordinator

Location: Remote


Responsibilities

  • Manage daily office and administrative operations
  • Use Jobber (our primary CRM) to manage customer accounts, scheduling, job tracking, and service records
  • Create, send, and follow up on invoices
  • Manage bookkeeping, payment tracking, expense organization, and office records
  • Coordinate scheduling for service appointments and internal workflow
  • Answer incoming phone calls from Google LSA leads, customers, and service
  • inquiries Gather customer information and help convert incoming leads into booked jobs
  • Communicate with customers regarding appointments, billing, and service updates
  • Help manage warranty-related service requests for new homes
  • Coordinate with contractors, vendors, and home builders to schedule and complete warranty work
  • Track warranty items and follow through until completed
  • Maintain organized and accurate notes, job records, and communication updates
  • Monitor open tasks, service items, and work orders to keep projects moving
  • Support ownership/management with office operations and process improvement


Qualifications

  • Previous experience in office management, administrative support, operations, bookkeeping, or
  • warranty coordination
  • Experience using Jobber or similar CRM/service management software preferred
  • Familiarity with invoicing, scheduling, bookkeeping, and customer communication
  • Comfortable answering inbound calls and speaking with new customers
  • Strong phone communication and customer service skills
  • Strong organizational skills and attention to detail
  • Excellent communication and follow-up skills
  • Ability to manage multiple tasks and deadlines at once
  • Comfortable working with customers, contractors, and builders
  • Ability to work independently and stay organized in a fast-paced environment Experience with
  • QuickBooks, spreadsheets, or construction/home service coordination is a plus
