Position: Office Manager / Warranty Coordinator
Location: Remote
Responsibilities
- Manage daily office and administrative operations
- Use Jobber (our primary CRM) to manage customer accounts, scheduling, job tracking, and service records
- Create, send, and follow up on invoices
- Manage bookkeeping, payment tracking, expense organization, and office records
- Coordinate scheduling for service appointments and internal workflow
- Answer incoming phone calls from Google LSA leads, customers, and service
- inquiries Gather customer information and help convert incoming leads into booked jobs
- Communicate with customers regarding appointments, billing, and service updates
- Help manage warranty-related service requests for new homes
- Coordinate with contractors, vendors, and home builders to schedule and complete warranty work
- Track warranty items and follow through until completed
- Maintain organized and accurate notes, job records, and communication updates
- Monitor open tasks, service items, and work orders to keep projects moving
- Support ownership/management with office operations and process improvement
Qualifications
- Previous experience in office management, administrative support, operations, bookkeeping, or
- warranty coordination
- Experience using Jobber or similar CRM/service management software preferred
- Familiarity with invoicing, scheduling, bookkeeping, and customer communication
- Comfortable answering inbound calls and speaking with new customers
- Strong phone communication and customer service skills
- Strong organizational skills and attention to detail
- Excellent communication and follow-up skills
- Ability to manage multiple tasks and deadlines at once
- Comfortable working with customers, contractors, and builders
- Ability to work independently and stay organized in a fast-paced environment Experience with
- QuickBooks, spreadsheets, or construction/home service coordination is a plus
