Position: Sales & Admin Virtual Assistant (Lighting Industry)
Location: Remote

We are looking for a highly organized and proactive Sales & Admin Virtual Assistant to support operations in the lighting industry. This is a phone-forward role focused on handling inbound leads, managing estimates, and keeping the sales pipeline and schedule running smoothly—especially during peak seasons.

The ideal candidate is confident on the phone, detail-oriented, and capable of managing a high volume of customer interactions while maintaining excellent service.

Key Responsibilities:

Lead Handling & Sales Support

  • Answer inbound calls and respond to website leads for:
    • Christmas lighting
    • Permanent lighting
  • Handle and deliver estimates for Christmas and permanent lighting (phone/online-based, not in person)
  • Pre-qualify leads for in-person landscape lighting estimates
  • Schedule appointments for landscape lighting consultations

Admin & Scheduling

  • Manage scheduling and general administrative tasks for lighting services
  • Create and send estimates and invoices
  • Follow up on sent estimates to increase close rates
  • Re-engage past clients (especially from previous seasons)
  • Perform upsell follow-ups and maintain ongoing client communication throughout the year

Seasonal Operations Support

  • Handle higher workload during peak Christmas season, including:
    • Efficient scheduling of installs and tear-downs
    • Coordinating jobs and timelines with the team

Systems & Tools

  • Work within Jobber (CRM) for job tracking, scheduling, and client management
  • Potentially complete training for lighting-specific sales and estimating processes

Requirements:

  • Strong experience in sales support, customer service, or virtual assistance
  • Excellent phone communication skills with a confident, natural-sounding voice
  • Ability to build rapport and sound professional, as if working in a local office environment
  • Clear speaking style with minimal accent or intonation that could impact call quality
  • Highly organized with strong multitasking and time-management abilities
  • Experience using Jobber or similar CRM systems is a plus
  • Ability to handle high call and task volume, especially during seasonal peaks
  • Quick learner with the ability to understand and adapt to the lighting industry
