Position: Admin & CRM Operations Coordinator
Location: Remote | Full-Time
We are looking for a highly organized, proactive, and customer-focused Admin & CRM Operations Coordinator to support a growing automotive detailing business. This role is ideal for someone who can confidently manage customer communication, scheduling, CRM workflows, invoicing, and operational support while helping leadership stay focused on growth and sales.
Key Responsibilities
Admin & Operations Support
- Manage invoicing, estimates, deposits, accounts receivable, and accounts payable support
- Coordinate scheduling and logistics for vehicles, boats, RVs, and aircraft appointments
- Maintain operational and revenue tracking reports
- Ensure smooth day-to-day administrative operations
CRM & Pipeline Management
- Handle lead follow-up, unsold estimates, inactive leads, and customer reactivation
- Manage CRM pipelines and customer records inside industry software and Go High Level
- Update lead statuses, notes, tags, and workflows accurately
- Help improve and maintain automations and follow-up systems
Customer Communication & Retention
- Respond to customer inquiries professionally and promptly
- Follow up on missed inquiries and dormant customers
- Conduct outreach for recurring maintenance and annual service reminders
- Support promotional campaigns, upsells, and customer retention efforts
- Provide a friendly and relationship-focused customer experience
Requirements
- Strong administrative and organizational skills
- Excellent phone, written, and customer communication skills
- Experience with CRM systems and pipeline management
- Familiarity with Go High Level is a plus
- Ability to multitask and manage follow-ups consistently
- Detail-oriented with strong accountability and follow-through
- Comfortable working independently in a fast-paced environment
