Our clients include homeowners, property managers, and commercial facilities. Our goal is to grow into a highly organized and scalable service business by strengthening our customer communication, scheduling, and sales follow-up systems.

We are looking for a long-term Virtual Assistant who will serve as the first point of contact for our customers and play a key role in day-to-day operations.


Role Overview

The Virtual Assistant will manage customer communication and scheduling while maintaining accurate records in our CRM. This role requires clear spoken English, strong phone presence, fast typing, and excellent attention to detail.

You will work closely with the business owner and help reduce daily workload while improving booking rates and customer experience.


Key Responsibilities

  • Answer inbound customer calls and respond professionally
  • Make outbound follow-up and confirmation calls
  • Book jobs and manage schedules accurately
  • Send estimates and pricing links
  • Confirm appointments and handle reschedules
  • Follow up with leads and unbooked estimates
  • Send review requests after completed services
  • Maintain clean and accurate CRM notes
  • Follow SOPs consistently and communicate updates clearly


Required Skills

  • Excellent spoken and written English (clear, professional phone presence)
  • Fast and accurate typing speed (50+ WPM)
  • Strong customer service and call-handling experience
  • Confident handling inbound and outbound calls
  • Ability to multitask without sacrificing accuracy
  • Comfortable using CRMs, calendars, and multiple tools
  • Highly reliable, punctual, and self-managed
  • Calm, professional demeanor when handling objections or questions


Preferred / Bonus Skills

  • Experience with home service businesses (window cleaning, pressure washing, HVAC, landscaping, etc.)
  • Familiarity with sales follow-ups, service plans, and review requests
  • Understanding of U.S. customer service expectations
  • Proficient in GoHighLevel scheduling


Work Schedule

9:00 AM – 6:00 PM PST

Consistent availability required
