We are a growing roofing and siding contractor seeking a detail-oriented and reliable Administrative Virtual Assistant to support our supplementing and estimating department.
This role is critical in ensuring that submitted estimates and supplements are properly tracked, followed up, and moved efficiently through the process—helping reduce delays and keep projects moving to production.
Key Responsibilities:
Supplement & Estimate Tracking
- Monitor submitted supplements and estimates sent to insurance carriers
- Track review status and follow up regularly to ensure progress
- Ensure no estimates or supplements are missed or delayed
Carrier Communication
- Communicate with insurance carriers via phone and email
- Follow up on pending reviews, approvals, and required documentation
- Handle extended phone hold times when necessary
Documentation & Coordination
- Assist in gathering additional information needed to close supplements
- Review scopes of work and estimates for accuracy and completeness
- Coordinate with sales reps, managers, and internal teams
Administrative Support
- Maintain organized records within the CRM (AccuLynx)
- Update job statuses and notes regularly
- Support general admin tasks related to the estimating process
Requirements:
- Strong written and verbal communication skills
- Ability to understand or learn estimates and scopes of work
- Comfortable handling phone-based follow-ups and hold times
- Highly organized with strong attention to detail
- Team player with the ability to communicate across departments
- Experience with CRM systems (AccuLynx is a plus)
- Proficient in Outlook, Microsoft Teams, and web browsers (Chrome/Edge)
What Success Looks Like:
- Supplements and estimates are consistently tracked and followed up
- Cycle time for approvals is reduced
- Communication with carriers is timely and effective
- Projects move quickly from estimating to production
