Job Description: The Accounts Payable Manager will oversee and manage the company's accounts payable operations, ensuring timely and accurate processing of invoices and payments, maintaining vendor relationships, and upholding compliance with company policies and regulatory requirements. This role involves leading the accounts payable team, optimizing processes for efficiency, and contributing to financial reporting and cash flow management.

Responsibilities:

  • Accounts Payable Operations: Oversee the entire accounts payable process, from invoice receipt to payment execution, ensuring accuracy, completeness, and timeliness in all transactions.
  • Team Leadership: Manage and mentor the accounts payable team, setting clear objectives, evaluating performance, and facilitating professional development to ensure a high-performing team.
  • Vendor Management: Develop and maintain strong relationships with vendors, negotiating payment terms where appropriate, and addressing any invoice or payment discrepancies. Produce annual 1099’s for vendors and subcontractors.
  • Process Improvement: Continuously assess and improve accounts payable processes and systems for greater efficiency, accuracy, and compliance. Implement best practices in accounts payable operations.
  • Financial Reporting: Assist in the preparation of financial reports related to accounts payable, including aging reports and cash flow forecasts, contributing to overall financial management and strategy. Reconcile accounts payable aging to general ledger.
  • Compliance and Controls: Ensure adherence to internal controls, company policies, and external regulations affecting the accounts payable function, including auditing processes and maintaining documentation for compliance purposes. Manage onboarding vendors and subcontractors to ensure contracts are signed, W9’s are in place and certificates of insurance are in place.
  • Disbursement Management: Manage the schedule of disbursements, optimizing cash flow management while ensuring timely payments to vendors and suppliers.
  • Issue Resolution: Serve as the primary point of contact for resolving complex issues related to accounts payable, including disputes with vendors and internal discrepancies.

Qualifications:

  • Proven experience as an Accounts Payable Manager or similar supervisory role in finance/accounting.
  • Strong understanding of accounting principles, accounts payable, and financial reporting.
  • Excellent leadership and team management skills.
  • Proficiency in accounting software and systems.
  • Strong analytical, problem-solving, and decision-making capabilities.
  • Effective communication and negotiation skills.
  • Detail-oriented with an ability to work under pressure and meet deadlines.

Preferred Qualifications:

  • Familiarity with GAAP and reporting.
  • Bachelor's degree in Accounting, Finance, or related field.
