Our current client is Finnish-owned accounting and auditing company with more than 30 years of experience in providing payroll and accounting services. On their behalf we are looking for a Personal Assistant to the Regional Director to join their team in Sofia. Responsibilities:
Strategic & Project Support
- Organize and track internal projects and related follow-ups;
- Participate in strategy development and planning sessions;
- Prepare briefing materials and summaries for leadership;
- Support documentation and reporting for strategic initiatives.
Administrative & Organizational Tasks
- Manage the Regional Directors calendar and schedule meetings;
- Book travel and prepare itineraries;
- Sort, filter, and archive documentation;
- Prepare meeting agendas and take minutes;
- Maintain contact lists and directories;
- Track deadlines and follow up on deliverables.
Operational & Financial Tasks
- Match and verify invoices;
- Assist in collecting payments and follow up on outstanding balances;
- Assist with expense reports and reimbursements;
- Coordinate with finance and accounting teams;
- Support procurement and vendor communication.
Communication & Compliance
- Liaise with clients, partners, and internal teams;
- Assist with Anti-Money Laundering (AML) documentation and communication;
- Prepare presentations or briefing documents.
Documentation & Reporting
- Organize and maintain confidential files;
- Prepare reports or summaries from meetings or data;
- Assist with contract preparation or review;
- Ensure compliance with internal policies and external regulations.
Local Office Management
- Handle Power of Attorney documentation and renewals;
- Manage office supplies and refreshments (e.g., coffee for clients);
- Coordinate office renovations and maintenance;
- Communicate with and manage relationships with the landlord;
- Support onboarding and workspace setup for new employees.
Client & Guest Support
- Welcome clients and guests;
- Bring coffee or refreshments to meetings;
- Arrange hospitality or gifts for visitors;
- Coordinate logistics for client visits or events.
Ad Hoc & Special Projects
- Support strategic initiatives or research tasks;
- Help with internal campaigns or communications;
- Assist in organizing team-building or company events;
- Handle any urgent or unexpected tasks as needed.
Requirements:
- Highly organized;
- Very good excel skills required;
- Fluent in English and Bulgarian;
- Comfortable handling confidential information;
- Able to manage multiple tasks and adapt to changing priorities;
- Fast adaptive;
- Ability to take responsibility and solve issues independently;
- Business education or interest required;
- Able and willing to travel.
