About You

You're sharp, structured, organized and seasoned. Someone who knows how to run the admin heart of a business and still catch every detail. You're not just reactive, you anticipate needs, keep the wheels turning, and make things look easy.

Here's what sets you apart:

  • Experience working with contracts, administrative documents, and MS Office tools

  • Highly organized, methodical, and systems-minded

  • Strong integrity, responsibility, and sense of ownership

  • Fluent in Romanian and able to communicate in English (conversational+)

  • Resides within easy commuting distance to Pipera

  • Comfortable with office hospitality (serving guests, tidiness, etc.)

  • Proactive with purchasing coordination (flights, car rentals, etc.)

Top 5 Objectives

  1. Ensure flawless document management, filing, and tracking of contracts

  2. Streamline daily administrative routines for office operations and the leadership team

  3. Coordinate travel, purchases, and rentals in a timely, cost-efficient manner

  4. Maintain high standards of hospitality and tidiness in the office environment

  5. Establish trust and reliability with the CEO and senior staff through consistent delivery

Other Responsibilities

  • Handle contract preparation, tracking, filing, and signature coordination

  • Manage document flow between departments and external parties

  • Book flights, hotel stays, car/machine rentals, and ensure all logistics are covered

  • Support internal office organization and supply management

  • Assist in guest reception, serving, and overall front-office upkeep

  • Liaise with suppliers and vendors as needed

  • Provide calendar support, management reporting or appointment coordination as required

Requirements

  • 10+ years of experience as an executive or personal assistant

  • Fluent Romanian; conversational English

  • Excellent knowledge of MS Office (especially Excel and Word)

  • Strong organizational and multitasking skills

  • Trustworthy, punctual, proactive

  • Presentable and personable demeanor

  • Commuting distance from Pipera
