Center for Wellness & Integrative Medicine was founded by Dr. Tom Yarema who believes in human health sovereignty and stimulating the innate healing ability of each patient through three different aspects; immune support, metabolic enhancement and optimal digestion. Thus, Dr. Yarema would like to re-invent the medical system and make available personalized treatment programs that are tailored to cater to individual needs with the help of a combination of traditional and modern medicine.

About the role:

We are looking to expand our team with an exceptional Front Desk Staff with a warm and reassuring personality because they will be the first point of contact for patients. They will be responsible for scheduling patient appointments according to Doctor availability, explaining intake forms to new patients and processing payments after treatment.

For this role, we specifically require someone who is empathetic and has high discerning perceptive abilities. Someone who has inspiring verbal & written communication skills because they also will educate and guide patients through their healing journey with their heart, hand and head. We would love to work with someone who is willing to go the extra mile for a patient.

This is a part-time position and we will be requiring you to work onsite at 3121 Park Ave d, Soquel, California, United States.

Front Desk Staff Goals:

  1. Serve patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.

  2. Welcome patients and visitors in person or on the telephone, and answering or referring inquiries.

  3. Comfort patients by anticipating patients anxieties, answering patients questions, and maintaining the reception area.

  4. Maintain patient profiles by obtaining, recording, and updating personal and financial information.

  5. Protects patients rights by maintaining confidentiality of medical, personal, and financial information.

Front Desk Staff Responsibilities:

  • Greet and attend to patients in person and over the phone.

  • Provide assistance to doctors, staff, visitors, and patients.

  • Maintain confidentiality of all doctor, staff, and patient information.

  • Schedule appointments between doctors and patients.

  • Adhere to policy and procedures during all activities.

  • Assist with admissions/treatment according to established protocols.

  • Ensure that stock levels are adequate and orders are made timeously.

  • Communicate medical results to patients under clinical supervision.

  • Document patient information accurately.

Front Desk Staff Requirements:

  • Bachelors degree is an asset but not required (We also accept students )

  • Customer service/support skills

  • Familiar with and has telephone etiquette

  • Flexible and is detail oriented

  • Organization and clerical skills

  • Capable of tangible resource management

  • Gracious team player aptitude

  • Media-genic personality

  • Is a people person and likes working with people

  • Previous experience with fitness/wellness coaching and customer happiness is preferred.

  • Extra consideration will be given to those with fluency in G-Suite (Gmail, G-forms & G-sheets, Drive), Trello, Slack

  • Extra points will be given to those with experience with Social Media and live streaming and managing private FB groups
  • Bonus points will be given to those with experience video editing YouTube videos.
