We opened in 2019 with one doctor and four support staff. We were the first Fear Free Certified clinic in Northern Virginia, and we've built a workplace that feels more like a family doctor's office than a chaotic production line. Today, we've grown to four doctors and more than 20 support team members, including a massage therapist and acupuncturist.

Who You Are 

We're looking for a Client Service Representative with: 

  • At least 2 years of customer service experience (vet med a plus) 
  • A flexible schedule & can cover opening through closing shifts & Saturdays 
  • A friendly, confident way of communicating 
  • The ability to handle multiple phone lines without panicking 
  • A fast-paced, go-getter attitude 
  • Strong writing skills 
  • Charisma and the ability to build trust quickly 
  • A curious mind that looks for ways to keep improving, and genuinely wants to grow in this field 
  • A calm, kind approach on busy days 
  • A desire to help teammates grow and succeed

You like humans as much as pets. You're the kind of person who remembers names, smiles easily, and brings steadiness to a busy front desk. You know how to care for yourself, not burn yourself out, and keep things moving with compassion and patience. 

What Youll Do 

This role is full-time, 3540 hours per week, Monday-Friday, plus 12 Saturdays per month, and occasional weekend cat boarding duties. 

Your day-to-day will include: 

  • Answering and managing multiple phone lines 
  • Checking clients-ins 
  • Educating clients 
  • Using Fear Free communication and handling 
  • Scheduling appointments 
  • Managing emails, online pharmacy requests, and client messages
  • Preparing forms and scanning/uploading records 
  • Requesting medical records from other clinics 
  • Documenting all communication in our software 
  • Handling loyalty program tasks 
  • Keeping the reception area clean and tidy 
  • Helping your teammates 
  • Laughing, growing, and yes, petting puppies and kittens
