About the Role:
The Senior Receptionist Coordinator provides advanced administrative and front-desk support for multiple departments or office locations. This role involves greeting visitors, managing incoming calls, coordinating meeting rooms, and ensuring the office environment supports a professional and welcoming workplace experience. The role is a key part of the Workplace Experience function, focused on delivering high-level customer service to internal teams and guests.

What Youll Do:

  • Receive and direct incoming phone calls to appropriate personnel or voicemail.

  • Greet clients, visitors, and applicants upon arrival; issue visitor passes and parking validations, follow building security protocols, and escort guests as necessary.

  • Schedule, set up, and prepare meeting and conference rooms, including managing catering, room layout, and technology requirements.

  • Perform administrative tasks such as distributing faxes and packages and ordering office supplies.

  • Screen and manage incoming/outgoing mail, freight, and packages; coordinate messenger services as needed.

  • Maintain cleanliness and professional appearance of reception, meeting rooms, and shared common areas; request building or janitorial services when necessary.

  • Arrange convenience services for guests such as transportation, restaurant reservations, or event tickets.

  • Identify and resolve typical and atypical issues within the scope of responsibilities without requiring direct supervision.

  • Select and apply appropriate solutions from established procedures.

  • Contribute to team operations through the quality and accuracy of provided services.

  • Follow standardized protocols and operate under moderate supervision.

What Youll Need:

  • High School Diploma or GED required.

  • 23 years of related experience in receptionist, front-desk coordination, or administrative support roles.

  • Strong understanding of work routines and professional standards.

  • Intermediate problem-solving skills and ability to work independently using pre-established processes.

  • Clear and concise verbal and written communication skills for internal coordination.

  • Advanced knowledge of Microsoft Office Suite (e.g., Word, Excel, Outlook).

  • Strong organizational skills and a detail-oriented, inquisitive mindset.

  • Basic math skills with the ability to calculate percentages, markups, and discounts.

  • Must be authorized to work in the United States without the need for visa sponsorship now or in the future.
