Job Description:

Summary
The Shipping Coordinator is responsible for coordinating outbound shipments, managing logistics operations, and ensuring compliance with shipping regulations and policies. This role works closely with internal teams, external vendors, and carriers to ensure the smooth flow of goods from the facility to the customers destination. Success in this position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Responsibilities

Shipping Coordination

  • Coordinate outbound shipments, including scheduling pickups, preparing shipping documents, and ensuring proper labeling and packaging.

  • Liaise with carriers, freight forwarders, and logistics providers to arrange transportation and optimize shipping routes.

  • Monitor shipment status, track deliveries, and provide updates to internal stakeholders and customers.

Inventory Management

  • Maintain accurate inventory records, including stock levels, locations, and product movement.

  • Conduct regular cycle counts and reconcile discrepancies to ensure inventory accuracy.

  • Coordinate with warehouse staff to replenish stock and fulfill orders on time.

Regulatory Compliance

  • Ensure compliance with shipping regulations, including hazardous materials handling, customs documentation, and transportation safety requirements.

  • Stay up to date on regulatory changes and implement updates to processes as needed.

Quality Assurance

  • Adhere to quality standards related to shipping and product handling.

  • Inspect outgoing shipments to verify compliance with specifications and customer requirements.

  • Report quality issues or non-conformances and participate in corrective action activities.

Continuous Improvement

  • Identify opportunities to improve shipping processes, reduce costs, and enhance efficiency.

  • Collaborate with cross-functional teams to implement process improvements and streamline workflows.

  • Participate in meetings and reviews to discuss operational metrics, challenges, and improvement opportunities.

  • Assist with other warehouse duties as needed.

Minimum Qualifications

Education

  • High School Diploma or equivalent required; some college coursework preferred.

  • Additional education or certification in logistics or supply chain management is a plus.

Experience

  • Minimum of 1 year of experience in shipping, logistics, or warehouse operations (manufacturing environment preferred).

  • Proficiency with shipping software and systems (e.g., UPS WorldShip, FedEx Ship Manager, SAP, or similar).

  • Knowledge of shipping regulations (DOT, IATA, IMDG, and customs requirements).

  • Strong organizational skills with ability to manage multiple priorities.

  • High attention to detail and accuracy in data entry and documentation.

  • Effective communication skills for collaboration with internal and external stakeholders.

  • Ability to work independently in a fast-paced, deadline-driven environment.

  • Basic computer proficiency, including inventory management systems and Microsoft Office.

  • Forklift certification preferred.

Physical Demands

  • Ability to frequently lift and move up to 20 pounds.

  • Vision requirements include close, distance, color, peripheral vision, depth perception, and focus adjustment.
