Position summary:

  • This position will work closely with Assistant Academic Manager, Head Receptionist and teaching staff to ensure all responsibilities and services are completed to assist the Little Genius daily operations.
  • The position requires a high level of attention to detail with a clear focus on quality outcomes.

Main Tasks

Enrolment

  • Enroll students
  • Introduce programs
  • Introduce suitable classes (not only one class)
  • Arrange trials
  • Consult after trials (class time, teachers feedback)
  • Arrange official class (based on our current class schedule)
  • Put on waiting list if there is no available class

Office Tasks

  • Write receipts
  • Stamp Cards
  • School policy sending
  • Collect Money
  • Cash transaction
  • Monthly tuition report
  • Send message to remind trial time (see message e.g.)
  • Call/Send message to remind registration after trial classes (2-3 days later)
  • Call/text parents when kids are absents (two days later)
  • Send parents invoice to all parents
  • Record all teachers teaching hours
  • Record all staffs overtime
  • Check students attendance everyday + absence reason
  • Send all letters (holiday, new policy, changes..) to all parents
  • Print out and put all necessary documents on the shelves of reception area
  • Pick up and drop off all students
  • Input all data of students
  • Input and update all tuition fee information
  • Input all parents complaints and feedback, reason of recess
  • Consult parents during Events
  • Check email and online registration to consult parents everyday
  • Take parents to school tour introduce all suitable classes
  • Update students number of trials, recess, new registrations
  • Undertake other related duties as determined by manager

Bus Duties

  • Check & update the bus time every day (if necessary)
  • Update and give bus list to drivers everyday (if anything is new)

Qualifications

  • Bachelors degree in Education with a certification in Educational Management
  • Bachelors degree in English linguistics/language
  • Proficiency in English communication. Good at Chinese/Japanese/Korean is preferred

Professional Experience

Mandatory

  • Proficient with Microsoft Office Suite
  • Proven working experience in a front office handling receptionist responsibility

Preferred

  • 1+ years experience of reception
  • Experience with professional appearance
  • Working hard

Competencies skills, knowledge & abilities

Essential

  • Proven ability to prioritise tasks and work to strict deadlines
  • Demonstrated ability to work effectively under pressure and manage complex tasks
  • Demonstrated superior negotiation skills

Working time:

  • 44 hours/week, weekends (Saturday and Sunday) is obligatory.
  • 1,5 day off on weekday and 1 Sat off/month (negotiable)
