About the Role

We are looking for an Air Logistics Gateway Operation – Administration Support to support the day-to-day coordination of air freight gateway operations. The role is responsible for ensuring timely and accurate booking coordination, following up with airline partners, maintaining up-to-date shipment information, and supporting overall operational efficiency and service quality.

This position is ideal for someone who is detail-oriented, organized, and comfortable coordinating with multiple stakeholders in a fast-paced logistics environment.

Key Responsibilities

1. Airline Booking & Operational Coordination

  • Monitor booking confirmations and proactively follow up with airlines to ensure timely acceptance and confirmation.
  • Coordinate with airline partners regarding booking discrepancies, available space, flight schedules, and operational changes.
  • Follow up on pending or exceptional cases to ensure shipments progress according to operational requirements.
  • Escalate urgent cases, delays, capacity constraints, or operational disruptions to the relevant operations team for timely resolution.
  • Maintain effective communication with internal teams and external airline partners.

2. Shipment Data & System Administration

  • Accurately update booking and shipment information in the company system, including flight schedules, MAWB/HAWB details, cargo status, and other relevant information.
  • Ensure all mandatory data fields are completed accurately and within the required timelines.
  • Conduct daily checks to identify missing, incorrect, or inconsistent shipment information.
  • Correct data discrepancies and coordinate with relevant stakeholders when additional information is required.
  • Ensure all system updates comply with company SOPs and customer requirements.

3. Documentation & Process Support

  • Upload booking confirmations, airline notices, and other supporting documents into the relevant systems in a timely manner.
  • Maintain accurate and organized operational records for reference and audit purposes.
  • Support the Gateway Operations team with administrative and coordination activities as required.
  • Follow established processes and procedures to maintain data accuracy and operational compliance.
  • Contribute to continuous improvement of administrative and operational processes.

Qualifications & Requirements

  • Bachelor's degree or diploma in Logistics, Supply Chain, Business Administration, or a related field is preferred.
  • Previous experience in air freight, logistics, freight forwarding, airline operations, or administration will be an advantage.
  • Good coordination and communication skills.
  • Strong attention to detail and accuracy when handling shipment and booking information.
  • Good computer skills and ability to work with operational systems and Microsoft Office.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Good problem-solving and follow-up skills.
  • Able to communicate effectively with both internal stakeholders and external partners.
  • Good command of English is preferred.
