About the Role:

We are looking for a Recruitment Admin to support our recruitment team across Contract Staffing and Permanent Recruitment assignments within Energy, Engineering, Technical, and Professional sectors.

This role plays an important part in keeping recruitment activities organised, accurate, and moving efficiently. You will support recruiters with candidate documentation, interview coordination, recruitment systems, contractor onboarding, and day-to-day recruitment administration.

The role is ideal for someone who is organised, responsive, detail-oriented, and comfortable managing multiple priorities and deadlines.

Key Responsibilities:

  • Provide day-to-day administrative support for Contract Staffing and Permanent Recruitment activities.
  • Prepare and format candidate CVs, candidate summaries, recruitment documents, and other materials for client submission.
  • Coordinate candidate interviews, assessments, schedules, confirmations, and follow-up activities.
  • Support candidate onboarding and contractor mobilisation, including collection and tracking of required documents, medical examinations, training, and other pre-employment requirements.
  • Maintain accurate and up-to-date candidate information, recruitment activities, assignment status, and documentation in the Applicant Tracking System (ATS) and recruitment trackers.
  • Follow up with candidates and internal stakeholders on outstanding documents, interview arrangements, onboarding requirements, and recruitment activities.
  • Support job postings, candidate database administration, and other recruitment coordination activities as required.
  • Maintain organised recruitment files and ensure documentation is complete, accurate, and compliant with company processes and client requirements.
  • Assist with recruitment reports, activity tracking, and basic recruitment data preparation.
  • Work closely with recruiters and internal stakeholders to ensure recruitment processes are completed accurately and on time.

Qualifications:

  • 1-3 years of experience in recruitment administration, coordination, customer service, or other administrative support roles; recruitment agency experience is an advantage.
  • Strong administrative, coordination, and organisational skills, with attention to detail and accuracy.
  • Proactive and responsive, with a strong sense of urgency and the ability to manage multiple tasks and changing priorities in a fast-paced environment.
  • Comfortable working with recruitment systems, databases, spreadsheets, and documentation; proficiency in Microsoft Office, particularly Excel, is preferred.
  • Good communication and interpersonal skills, with the confidence to coordinate professionally with candidates and internal stakeholders.
