Event Project Manager

 Job Description:

The Project Manager is responsible for leading, planning, and executing events and exhibition projects from concept to completion. This includes managing timelines, budgets, client communication, and cross-functional coordination with design, production, logistics, and on-site teams to ensure successful project delivery that meets client objectives and company standards.

Key Responsibilities:

1. Project Planning & Coordination

  • Develop and manage detailed project plans, schedules, and budgets for each event or exhibition.
  • Coordinate with internal departments (design, production, technical, logistics, and procurement) to align project objectives.
  • Define project scope, goals, deliverables, and milestones in alignment with client requirements.

2. Client Management

  • Serve as the main point of contact for clients throughout the project lifecycle.
  • Conduct regular meetings, updates, and presentations to maintain client satisfaction and transparency.
  • Provide creative and operational solutions to meet client expectations.

3. Budgeting & Financial Control

  • Prepare cost estimates, quotations, and project budgets.
  • Track expenses, manage vendor invoices, and ensure profitability.
  • Negotiate with suppliers and contractors to ensure cost-effectiveness.

4. Production & On-Site Execution

  • Supervise event setup, installation, and dismantling to ensure quality and safety standards.
  • Coordinate logistics including transportation, material handling, and manpower scheduling.
  • Handle troubleshooting and on-site decision-making during event execution.

5. Quality & Compliance

  • Ensure adherence to brand guidelines, design standards, and safety regulations.
  • Conduct post-event evaluations to assess project success and areas for improvement.

6. Team Leadership

  • Manage internal project teams and external vendors.
  • Assign tasks, monitor performance, and ensure timely completion of deliverables.
  • Foster collaboration and effective communication across departments.

Qualifications & Requirements:

  • Bachelors degree in Event Management, Marketing, Business Administration, or related field.
  • 5+ years of experience in project or event management within an exhibitions, events, or agency environment.
  • Proven experience handling large-scale events, exhibitions, or corporate activations.
  • Strong budgeting, scheduling, and vendor management skills.
  • Excellent communication, negotiation, and leadership abilities.
  • Proficient in Microsoft Office, project management tools (e.g., Monday.com, Asana), and design file handling (AutoCAD, 3D renderings a plus).

Ability to travel and work flexible hours, including weekends or late nights during event setup and breakdown
