Job Summary:

We are seeking a well-presented and customer-focused Front Office Executive to join our team. As the first point of contact for visitors and clients, you will play a critical role in creating a welcoming and professional atmosphere. The ideal candidate should have excellent communication skills, a friendly demeanor, and a proactive approach to handling administrative tasks.

Key Responsibilities:

  1. Guest Relations:

    • Greet and welcome visitors, guests, and clients in a professional and courteous manner.
    • Manage the check-in and check-out process efficiently.
    • Address inquiries and provide information about services, facilities, and schedules.
  2. Communication:

    • Answer and direct phone calls promptly and professionally.
    • Handle emails and correspondence effectively, ensuring timely responses.
    • Coordinate communication between departments to ensure smooth operations.
  3. Administration:

    • Maintain the front desk and reception area in an organized and tidy condition.
    • Schedule and manage appointments, bookings, and reservations.
    • Update and maintain records, logs, and visitor databases.
  4. Problem Resolution:

    • Address and resolve guest concerns or escalate issues to the appropriate department.
    • Assist in resolving scheduling conflicts and last-minute changes efficiently.
  5. Team Support:

    • Collaborate with other staff to support overall operations.
    • Assist with administrative duties, such as data entry, filing, or document preparation.

Qualifications:

  • High school diploma or equivalent (Bachelors degree preferred).
  • Proven experience in a front office, receptionist, or administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Excellent verbal and written communication skills.
  • Excellent spoken and written English skills are required
  • Preferred knowledge of German and/or Italian language
  • Strong interpersonal skills with a customer-oriented attitude.
  • Ability to multitask, prioritize, and handle pressure in a fast-paced environment.
