Job Title: Real Estate Executive Assistant

Job Summary:
We are seeking an experienced and highly organized Real Estate Executive Assistant to support our growing team. This role involves a combination of administrative, marketing, and business development responsibilities, with a focus on ensuring smooth operations, effective communication, and efficient transaction management. The ideal candidate will have a proven track record in real estate, excellent organizational skills, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities:

Executive Assistance & Transaction Management (33%)

  • Manage property listings on platforms like CoStar, LoopNet, and Crexi.
  • Oversee property signage orders and removals.
  • Coordinate broker email campaigns for listings and buyer/tenant needs.
  • Respond to inquiries from prospects and property contacts.
  • Maintain and update CRM systems (Salesforce, iContact).
  • Ensure compliance with transaction files and contracts, including representation agreements and W-9 forms.
  • Prepare proposals, Request for Proposals (RFPs), Letter of Intent (LOIs), and purchase/sale offers.
  • Organize inboxes, manage email responses, and schedule networking events.
  • Provide personal assistance with travel planning and appointment scheduling.

Marketing Support (33%)

  • Design and update property marketing brochures, maps, and aerials using templates.
  • Manage social media platforms (LinkedIn, X) and schedule posts.
  • Create blog content using ChatGPT and post finalized articles online.
  • Develop PowerPoint presentations and marketing materials for property and service promotion.
  • Coordinate and execute email marketing campaigns.

Prospect Research & Business Development (33%)

  • Conduct lead generation activities, including email and direct mail campaigns.
  • Schedule meetings and networking opportunities with prospects and partners.
  • Research and identify decision-makers and their contact information.
  • Track prospecting efforts and maintain spreadsheets.
  • Set up and execute email drip campaigns in Salesforce and iContact.
  • Research property ownership and market opportunities.

Requirements:

  • 3-4 years of professional experience in real estate, preferably commercial.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams), Salesforce, Joomla, iContact, and Asana.
  • Exceptional verbal and written communication skills in American English.
  • Strong organizational and multitasking abilities.
  • Access to reliable technology, including a newer computer, multiple monitors, and a high-definition camera/microphone.
  • Ability to work in Mountain Standard Time (Denver, CO).
  • Experience in lead generation, marketing campaigns, and CRM management.
  • Detail-oriented with a focus on accuracy and efficiency.
