Executive Assistant

 Job Description:

Overview: 

Location: Guadalajara, Mexico (with frequent travel to the U.S.)
Employment Type: Full-time (flexible schedule based on CEOs needs)
Compensation: Competitive salary based on experience and qualifications


Executive & Operational Support

  • Manage the CEOs calendar, inbox, priorities, and travel arrangements with discretion and accuracy.

  • Prepare executive-level reports, presentations, legal documents, and key correspondence.

  • Coordinate business logistics across Mexico and the U.S.

  • Lead and support high-priority projects and strategic tasks as assigned by the CEO.

Client & Stakeholder Management

  • Build and maintain strong relationships with clients, vendors, and key partners.

  • Coordinate meetings, agendas, and follow-ups, ensuring accountability on action items.

  • Represent the CEO professionally in meetings, calls, and high-level communications.

Business & Strategy Support

  • Assist with tracking strategic goals, managing performance indicators, and coordinating business initiatives.

  • Conduct research, compile business intelligence, and support executive decision-making.

  • Collaborate with internal teams to align execution with leadership priorities.

Office & Team Coordination

  • Serve as the main point of contact for internal team coordination.

  • Support recruitment, onboarding, and internal team-building activities when needed.

  • Maintain systems for documentation, file management, and internal process tracking.


Requirements: 

Education: 

  • Bachelor's degree in Business Administration, International Relations or related field. 

Experience: 

  • At least 5 years of experience supporting senior executives, founders, or leadership teams.
  • Demonstrated success managing client relationships, handling operations, and working independently in dynamic environments.
    
    
  • Technical Skills: 
  • Proficiency in Microsoft Office, Google Workspace, CRMs, and productivity platforms.

  • Excellent organizational, time-management, and multitasking skills.

  • Business-minded, detail-oriented, and quick to adapt.


Language Skills:
 

  • Fluency in both English and Spanish (written and spoken) is a must. 

Soft Skills: 

  • Excellent organizational and time-management skills. 
  • Strong attention to detail and ability to handle confidential information. 
  • Ability to work independently and prioritize tasks effectively.
