Administrative Coordinator
Location: Guadalajara, Mexico (Hybrid)
Client: JCP General Contracting (U.S.-based construction company)
LATAM Partners is seeking a proactive and organized Administrative Coordinator to support the financial and operational structure of JCP General Contracting, a dynamic and growing construction company based in the United States.
This role is ideal for professionals who enjoy administrative coordination and have a strong understanding of financial workflows, even if they are not certified accountants. You will play a key role in organizing business documentation, assisting with financial tracking, and maintaining consistency in day-to-day operations.
As an Administrative Coordinator, you will help manage administrative workflows, assist with financial documentation, and support the daily business operations of our U.S.-based client. Youll work closely with LATAM Partners and the client to ensure that systems run smoothly and that information is organized, accurate, and delivered on time.
You dont need to be an accountant, but you should feel comfortable working with numbers, understanding cash flow, reviewing financial reports, and organizing documents that support compliance and business performance.
This role is ideal for someone who is naturally detail-oriented, understands how businesses operate, and can collaborate effectively with international teams.
Key Responsibilities:

Track administrative and financial deadlines, documents, and follow-ups

Maintain well-organized records of payments, invoices, bank statements, and payroll reports

Support coordination of accounts payable/receivable and cash flow tracking

Assist with monthly reports and balance summaries using QuickBooks and Excel

Collaborate with external accountants and advisors to ensure compliance with U.S. accounting standards

Learn and operate QuickBooks to organize income, expenses, and vendor/client records

Categorize and track recurring expenses, contractor payments, and materials costs

Prepare and maintain internal cash flow reports and basic financial summaries

Communicate directly with business owners or managers to clarify documentation or pending items

Raise alerts or provide suggestions when there are inconsistencies or process gaps

Follow up with clients and ensure timely collection of documents required for taxes or audits

Support project tracking and cost control efforts across multiple jobs or accounts
Qualifications:

Degree in Business Administration, Accounting, Finance, or a related field

2 to 3 years of experience in an administrative or financial support role, ideally in construction or similar industries

Comfortable using Excel (intermediate level), and willing to learn QuickBooks

Fluent in English and Spanish (written and spoken)
