Schedule: 1:00 pm to 9:00 pm PH time (50% overlap with Dublin hours)

Compensation: PHP 50,000 to 70,000 p/month.

Role Overview

The Remote Administrative/Marketing assistant will support the CEO in maintaining and growing client relationships, driving customer engagement, and coordinating product and marketing activities. The role focuses on proactive communication with both corporate and private clients to encourage service bookings and promote No-H2Os expanding offerings.

Key Responsibilities

  • Communicate weekly with corporate At Work clients to arrange and confirm reminder messages for employee service bookings.
  • Email or message At Home clients to encourage repeat bookings and maintain customer loyalty.
  • Distribute promotional emails and offers to loyal customers, including discounts, loyalty rewards, and special offers.
  • Manage client Google reviews and Net Promoter Score processes.
  • Prepare and send email marketing campaigns and flyers to targeted prospects (e.g., corporate clients, car rental companies).
  • Ensure all marketing materials align with brand guidelines and messaging.
  • Assist with content coordination, newsletter preparation, and general marketing administration.
  • Maintain email lists, customer/prospect databases, and CRM records accurately.
  • Provide general administrative assistance to the CEO and marketing team, including scheduling, organizing files, and coordinating meetings.
  • Monitor outstanding jobs and scheduling requirements and prepare follow-up actions for managers.
  • Maintain up-to-date records across practice management systems and ensure proper document filing and archiving.
  • Manage digital signing workflows and ensure client-facing documents are professional and consistent.
  • Coordinate ordering and tracking of supplies (cleaning products, uniforms, promotional materials, branded gifts) from suppliers in the U.S. and China.
  • Prepare productivity reports and coordinate employee review documentation.
  • Maintain internal knowledge bases, procedure libraries, and professional development tracking.

Skills and Experience

  • Experience in administration, marketing support, or customer relations (remote experience preferred).
  • Strong written and verbal communication skills with a customer-focused approach.
  • Experience using email marketing or CRM platforms (e.g., HubSpot, Mailchimp).
  • Highly organized, proactive, and able to work independently.
  • Comfortable coordinating with international suppliers and managing procurement tasks.
  • Proficient in Microsoft Office, Google Workspace, and online communication tools.
  • Familiarity with social media and digital marketing practices is a plus.
  • Strong writing, editing, creativity, and problem-solving abilities.
  • High attention to detail and accuracy.
