Job Summary

The Administrative & Customer Support Assistant will help manage daily communication, scheduling, website order support, patient follow-ups, and basic administrative tasks.

The right candidate should be professional, patient, detail-oriented, and able to handle sensitive information with care.

Key Responsibilities

Patient Communication & Scheduling

  • Answer phone calls and emails from patients and customers
  • Schedule appointments and manage follow-ups
  • Communicate in a professional, friendly, and helpful manner
  • Direct clinical or medical questions to the appropriate team member

Order & Website Support

  • Process website orders for wound care products
  • Enter order and customer details accurately into the system
  • Follow up on missing information, order questions, or customer requests
  • Keep order-related notes organized and updated

Patient & Customer Support

  • Assist patients and customers with basic product and service questions
  • Provide general information in a clear and professional way
  • Handle patient-related information with care and confidentiality
  • Escalate sensitive or clinical issues when needed

FAQ & Administrative Support

  • Track common patient and customer questions
  • Help build and maintain a simple FAQ/resource database
  • Keep records, notes, and follow-ups organized
  • Assist with other administrative tasks as needed

Requirements

  • Strong spoken and written English
  • Comfortable speaking with patients and customers by phone
  • Organized, detail-oriented, and reliable
  • Tech-savvy and comfortable using online systems and databases
  • Professional, patient, and friendly communication style
  • Able to handle sensitive information confidentially
  • Comfortable managing calls, emails, orders, and follow-ups

Work Schedule

Monday to Thursday: Split shift, approximately 8:00 AM to 11:00 AM and 3:00 PM to 9:00 PM
Friday: 8:00 AM to 11:00 AM
