World Scout Moot 2022(hereinafter, “We”, “Us”, “Our”, or “WSM2022”) values your trust and is committed to the responsible management, use, and protection of personal information. This Job Applicant Privacy Policy (“Policy”) describes our practices in connection with the information that World Scout Moot 2021, on behalf of Scouting Ireland Services, CLG, located in Ireland, collect from you online or offline in connection with your application for a voluntary role with World Scout Moot 2022. World Scout Moot 2022 reserves the right to change, modify or update this Policy at any time without notice.

 

By accessing the Career Page, we assume you accept this Policy in full. Do not apply for any roles or continue to use World Scout Moot 2021's Career Page if you do not accept all of this Policy.

Personal Information we Collect

Information You Provide

We collect information from you in connection with your application.

Information we collect includes:

·       Name, address, telephone number, e-mail address, and other contact information;

·       CV, résumé, cover letter, previous work experience and education information;

·       Knowledge, skills, and abilities;

·       Professional and other work-related licenses, permits and certifications held;

·       Information relating to character and scouting references; and

·       Any other information you elect to provide to us.

Except as specifically requested, we ask that you avoid submitting information in your application which may qualify as sensitive information under the General Data Protection Regulations (“GDPR”). Sensitive information includes data about race, religion, ethnicity, nationality or national origin, age, gender identity, sex life or practices or sexual orientation, marital status, medical or health information (including disability status), genetic or biometric information, biometric templates, political or philosophical beliefs, political party or trade union membership, veteran status, photographs, background check information, judicial data such as criminal records or information on other judicial or administrative proceedings.

Any information you submit through the Careers Page or which you otherwise share with our Volunteer Support team must be true, complete, and not misleading. 

Purposely submitting inaccurate, incomplete, or misleading information may lead to rejection of your application during the application process or, if identified after commencing a voluntary role with the Us, disciplinary action including immediate termination of your voluntary role, and reporting to your National Scout Organisation (“NSO”), and where appropriate, either the World Organisation of the Scout Movement (“WOSM”) or the World Association of Girl Guides and Girl Scouts (“WAGGGS”). 

If you provide us with personal information of a reference or any other individual as part of your application, it is your responsibility to obtain consent from that individual prior to providing the information to us. By providing that personal information, you are affirming that you have obtained such consent.

Information from Other Sources

For the purpose of background check reports in connection with your application, and as permitted by applicable law and/or with your consent, World Scout Moot 2022 will obtain information about you from other sources:

These other sources may include:

·       Your references;

·       Your NSO; and

·       As appropriate, either WOSM or WAGGGS.

 

Basis for Collection of Information

We collect and process information about you for one or more of these reasons:

 

·       Because you voluntarily provide this information and consent for us to process it;

·       Because this information is necessary to take steps at your request prior to your acceptance onto a voluntary position;

·       Because this information is of particular importance to us, and we have a specific legitimate interest under law to process it;

·       To comply with a legal obligation; or

·       Where necessary to protect the vital interests of you or any person.

 

Where the collection or processing is based on your consent, you may withdraw your consent at any time to the extent permitted by applicable law.

 

Use of Information

The information that you submit on the Careers Page or otherwise share with our Volunteer Support team will be used for World Scout Moot 2021’s volunteer recruitment, management, and planning purposes, as permitted by applicable law: 

 

·       To process your application;

·       To assess your capabilities and qualifications;

·       To conduct reference checks;

·       To respond to your inquiries and communicate with you about your application, and to send you information regarding the Careers Page;

·       To comply with or monitor compliance with any applicable law or regulation; and

·       To preserve other legitimate interests, for example, for World Scout Moot 2021’s administrative purposes, aggregate management reporting, internal training, and as generally required to meet our obligations to both Scouting Ireland and WOSM.

 

Consistent with applicable law, the information about you will be added to our Careers system(s) or database(s) and can be retained and used to consider you for opportunities at World Scout Moot 2021. We may contact you by email or by phone about other opportunities that may be aligned with our needs and your interests. If you do not wish us to do this, please contact us at gdpr@moot2021.ie.

 

Your applicant details may be shared with the World Scout Bureau, an entity incorporated in Switzerland (“WSB”), for the purpose of providing a reference check or to report false or misleading information to WOSM. The WSB is the Secretariat of WOSM and all data provided to the WSB is stored in Dublin, Ireland in line with the WSB Privacy Policy. The WSB acts on behalf of WOSM in all interactions where your data is concerned. 

 

Your applicant details may be shared with the World Association of Girl Guides and Girl Scouts, an entity incorporated in England for the purpose of providing a reference check or to report false or misleading information to WAGGGS. During the United Kingdom’s Transition Period, WAGGGS remains fully governed by EU GDPR, and all data provided to WAGGGS will be processed in accordance with the WAGGGS Privacy Policy. 

 

Your applicant details may be shared with your NSO, which may not be in European Union, for the purpose of providing a reference check or to report false or misleading information to your NSO. This data may not be processed in full compliance with GDPR and this may affect the rights of data subjects. 

 

If we offer you a volunteer position, personal information we collect in connection with your application may be incorporated into our Volunteer Support system and used to manage the onboarding process. Any such information can become part of your volunteer file and used for other volunteer-related purposes.

 

Providing personal information to us through the Careers Page or to our Volunteer Support team is voluntary, but necessary for the recruiting process. Consistent with applicable law, if you do not provide sufficient information, World Scout Moot 2021 may be unable to consider your volunteering application.

 

Security

World Scout Moot 2021 will implement appropriate administrative, physical, and technical measures to protect personal information consistent with applicable privacy and data security laws and regulations. When World Scout Moot 2021 retains a third-party service provider to store or process personal information, that provider will be assessed for their ability to meet industry standard security measures to ensure the confidentiality and integrity of the personal information.

 

About Children

The Careers Page is not intended for minors in any jurisdiction. 

 

Changes to the Policy

We reserve the right to amend this Policy at any time in order to address future developments of World Scout Moot 2021, the Careers Page, or changes in industry or legal trends. Any changes will become effective when we post the revised Policy on the Careers Page. We will not make any notification when this Policy changes.
