Job brief

One of our clients is seeking to hire a detail-oriented Administrative Support Specialist to assist a clients operations with CRM data hygiene, customer follow-up outreach, and outbound email communications. This role requires strong organizational skills, consistency, and excellent written and verbal communication.

Schedule: Monday–Friday, 11:00 AM – 3:00 PM EST (unpaid 15–30 min break; schedule may be adjusted if needed)

Responsibilities

  • Perform ongoing CRM data hygiene and cleanup as requested by the client.
  • Conduct follow-ups with customers post-service/trip, including outbound phone calls, emails, and documenting outcomes in the CRM.
  • Send outbound emails to prospective customers using approved templates and processes.
  • Maintain accurate documentation for all actions taken, including notes, outcomes, and next steps.
  • Provide end-of-shift summaries of tasks completed, items in progress, and blockers.
  • Maintain timely responsiveness to manager communications during scheduled hours.

Requirements

  • Ability to work full scheduled shift consistently.
  • Strong written and verbal communication skills.
  • Excellent organization, attention to detail, and consistency.
  • Comfortable working inside a CRM and following documented processes.
  • Willingness to track all work time using TopTracker.
  • Accountability to meet deadlines, attend meetings, and communicate absences in advance.

Preferred Experience:

  • 1+ year in administrative support, operations support, customer support, or CRM/data entry roles.
  • Experience with CRM cleanup and data hygiene.
  • Professional email communication and consistent documentation of outcomes.
  • HubSpot experience is a plus (not required).
