Overview
A primary mental health treatment provider is looking for a second shift Admissions Supervisor. The Admissions Supervisor plays a key leadership role overseeing call-center admissions operations for a national mental health treatment provider. This position leads second-shift Admissions Coordinators, supports case-level financial approvals, and maintains an active personal admissions caseload. The role requires deep industry knowledge, clinical program awareness, and strong operational judgement to ensure timely access to care and compliant admissions workflows.
Shift: Friday-Tuesday, 2:00pm - 10:00pm
Key Responsibilities
Leadership & Supervision
- Directly supervise second-shift Admissions Coordinators (typically 3–11 PM shift)
- Provide daily performance coaching, call-quality oversight, and real-time escalation support
- Ensure adherence to admissions KPIs including call volume, conversion rates, documentation accuracy, and response time SLAs
- Support staff scheduling, handoff processes, and shift-level workflow optimization
- Lead and document corrective action conversations when needed
Financial & Clinical Approvals
- Contribute to case-level financial approvals, including benefit verification review, level-of-care alignment, and approval for self-pay or hybrid payment admissions
- Collaborate with admissions leadership on scholarship cases, payment plans, or financial exception approvals
- Maintain compliance with ASAM level-of-care awareness, even in primary mental health tracks, for accurate clinical placement
- Ensure all approvals meet internal policy and state regulatory requirements
Hands-On Admissions Work
- Maintain an active admissions caseload and personally manage cases from initial call through approval and intake
- Conduct clinical triage, coordinate approvals, and ensure smooth admit transitions
- Document cases accurately in the EMR and CRM in alignment with compliance standards
- Manage high-acuity or de-escalation sensitive admissions calls when needed
Cross-Department Collaboration
- Partner with Utilization Review, Clinical, Nursing, and Revenue Cycle teams to resolve barriers to admission
- Support insurance authorization handoff readiness and clinical intake coordination
- Ensure admissions decisions support financial sustainability and patient care access goals
Qualifications
Required
- Minimum 4+ years of behavioral health admissions experience
- Demonstrated expertise in mental health treatment admissions, call-center workflows, insurance verification, and clinical placement processes
- Strong knowledge of admissions compliance standards (Joint Commission/CARF familiarity preferred)
- Experience managing real-time escalations and high-stress patient engagement calls
- Ability to supervise while carrying personal admissions cases
- Proficiency in EMR systems, CRM platforms, and Google/Microsoft workspace tools
Preferred
- 1+ year of admissions management or supervisory experience in a behavioral health call-center or treatment admissions environment
- Prior experience as a Lead Admissions Coordinator, Supervisor, or Manager
- CRM experience such as Salesforce, GoHighLevel, or CTM-integrated systems
- Experience with financial approval frameworks and payment exceptions
