About the Role
We are looking for a highly organized, proactive, and tech-savvy Executive Assistant / Personal Assistant to support the Chief Operating Officer (COO). This role is ideal for someone who is reliable, discreet, detail-oriented, and able to manage multiple priorities while ensuring smooth daily operations.

Key Responsibilities

Executive Support

  • Manage the COOs calendar, appointments, and scheduling requests

  • Coordinate meetings, travel, and logistics

  • Prioritize incoming requests and communications

  • Track follow-ups and ensure action items are completed

Administrative Management

  • Maintain organized documentation, reports, and correspondence

  • Assist with project coordination across departments

  • Handle confidential information with discretion

Process & Systems

  • Implement and maintain administrative workflows and processes

  • Improve operational efficiency through structured systems and tools

  • Support task management, scheduling, and project tracking

Coordination & Communication

  • Act as a liaison between the COO, staff, and external partners

  • Ensure requests and projects are routed properly and followed up

  • Support leadership meetings and planning initiatives

Qualifications & Skills

  • Strong administrative, organizational, and project management experience

  • Excellent communication, interpersonal, and problem-solving skills

  • High attention to detail and ability to manage multiple priorities

  • Professional, discreet, and reliable

  • Tech-savvy with proficiency in ClickUp, Google Drive, Google Calendar, and other productivity and communication tools

Offer Details

  • Full-time remote position

  • Salary: $2,500 USD per month

  • Working hours: 10:00 AM – 7:00 PM CST, some flexibility required

  • Contract type: Remote contractor
