About the Role

Role: Executive Assistant (Marketing Agency)
Reports to: Founder

Goal of the Role:
Protect founder time, enforce priorities, and ensure nothing important is dropped.

Responsibilities

  • Manage and organize the founders inbox daily, ensuring clear priorities

  • Flag urgent, high-impact emails and tasks proactively

  • Draft email responses and handle follow-ups as needed

  • Track deadlines and convert action-required emails into tasks

  • Review short-form content for basic QA before publishing

  • Schedule and post content across Instagram, YouTube Shorts, and LinkedIn

  • Track invoices and follow up on outstanding payments

  • Escalate overdue payments when necessary

  • Book and manage travel arrangements end-to-end

  • Maintain a priority and reminder system to protect founder time

Performance Metrics

  • Inbox stays clear and prioritized daily
  • No urgent or high-priority emails are missed
  • All action emails are turned into tasks
  • Content is always reviewed before posting
  • No posting mistakes or broken links
  • All invoices are tracked and followed up
  • Overdue invoices are escalated within 7 days
  • Travel is booked correctly on the first try
  • No deadlines are missed due to lack of reminders

Qualifications

Must Have

  • Extremely organized

  • Strong written English

  • Comfortable chasing people (politely but firmly)

  • Tech-savvy (Google Workspace, Slack, Notion/ClickUp)

  • High attention to detail

  • Proactive, not reactive

Nice to Have

  • Social media familiarity

  • Agency or startup experience

  • Time zone overlap with CST

Offer Details

  • Working hours: Aligned with founder schedule (CST full time)

  • Contract type: Remote, full-time B2B Contract

  • Salary: 2000$-2500$
