They believe recovery starts with access to the right care. Their platform helps people find trustworthy treatment programs tailored to their needs from detox and residential care to outpatient programs and long-term support.
They also operate a marketing and automation agency that builds systems, funnels, and paid ad campaigns to help treatment providers reach people in need efficiently and ethically.
Role Overview
We are looking for a Senior Executive Assistant to work directly with the CEO to run day-to-day operations, manage strategic projects, and keep our marketing and automation systems running smoothly. This is not just a scheduling role: you will help design, document, and optimize workflows, ensure the CEO can focus on high-impact work, and serve as a trusted partner in decision-making.
Key Responsibilities
Executive Operations: Manage the CEOs calendar, prioritize requests, coordinate meetings across time zones, and prepare agendas and follow-ups. Control personal and business finances when needed(basic).
Project Management: Oversee the execution of marketing and automation initiatives, track deliverables, and keep projects moving forward.
System & Workflow Support: Assist with documenting and improving processes across the agency using tools like Notion, Airtable, and Make.com.
Marketing Ops Coordination: Liaise with the marketing team on funnel performance, lead tracking, reporting, and campaign support.
Client & Vendor Communication: Serve as a point of contact for partners, schedule key calls, and support onboarding of new clients and contractors.
Research & Documentation: Prepare reports, decks, and one-pagers; assist with proposals and strategy docs.
High-Level Administrative Support: Handle confidential information, organize files and SOPs, and ensure smooth operations across the company.
Qualifications
3+ years of experience supporting founders, CEOs, or senior executives (agency or startup experience strongly preferred).
Strong understanding of marketing and automation tools (e.g., Make.com, N8N, Notion, Airtable, Typeform).
Excellent project management and organizational skills with the ability to anticipate needs and proactively solve problems.
Strong written and verbal communication; can draft concise, polished client-facing and internal communications.
Comfortable with marketing funnel concepts, digital advertising, and performance tracking.
High technical aptitude and ability to work with APIs or learn new tools quickly.
Discreet and trustworthy with sensitive information.

Reliable high-speed internet and professional setup (MacBook preferred).
Ability to work independently with minimal supervision.

Offer:
Compensation: 2-3k per month
