About the Role

This role is focused on being the primary support system for the Executive team. The Executive Assistant will be responsible for managing inboxes and calendars, handling administrative tasks, and ensuring smooth day-to-day operations.

The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced environment while communicating with clients and supporting internal teams.

Responsibilities

  • Inbox and Calendar Management: Handle all aspects of the CEOs inbox and calendar, including scheduling bi-weekly client calls, managing reminders, and ensuring optimal time management.

  • Organizational Tasks: Maintain and categorize digital files using Google Drive and project management tools such as ClickUp.

  • Client and Invoice Management: Manage client communications and follow-ups, oversee invoice processes, and transfer invoices from various platforms into QuickBooks.

  • Communication and Coordination: Create and manage content for social media platforms including Behance, Instagram, and LinkedIn. Prepare team meeting agendas, presentations, and follow up on action items.

  • Research and Reporting: Conduct research on competing agencies, potential prospects, and new initiatives, and prepare reports based on findings.

  • Administrative Support: Update letterheads, proofread documents, sort and forward emails, and handle other administrative tasks as required.

  • Recruitment Support: Qualify and disqualify applicant resumes by reviewing and filtering candidates based on role requirements.

Qualifications

  • At least 3 years of experience in administrative or related roles

  • Strong communication and organizational skills

  • Excellent time management and multitasking abilities

  • High level of discretion and ability to handle confidential information

  • Tech-savvy and comfortable learning new tools

  • Experience with tools such as QuickBooks, Google Drive, ClickUp, Slack, Zoom, Google Meet, and social media platforms

  • Self-starter who anticipates needs and works independently

  • Ability to adapt to executive working styles and respond quickly to changes

  • Located in LATAM and able to work during EST business hours

Offer Details

  • Commitment: Full-time

  • Location: Remote (based in LATAM)

  • Working Hours: EST business hours 

  • Contract Type: B2B

  • Salary Range: USD 1,800 – 2,400 per mont
