About the Role

We are hiring a full-time Appointment Setter to convert inbound interest into high-quality booked calls for the sales team.
This role requires strong communication skills, fast response times, and the ability to manage multiple lead sources inbound applications, Instagram DMs, CRM follow-ups, and no-show recovery.

You will own the follow-up process end-to-end, ensuring appointments are qualified, show rates stay high, and CRM systems remain clean and updated.

Responsibilities

  • Follow up with inbound applicants who didnt book and recover 30 - 50% into scheduled calls

  • Re-engage no-shows and reschedule at least 30% through calls, texts, and follow-ups

  • Set qualified appointments via Instagram DMs using scripts, voice messages, and engagement triggers

  • Reactivate warm leads in HubSpot & Aloware to book 1020 CRM appointments monthly

  • Respond to all inbound messages within 15 minutes during working hours

  • Complete daily BOD and EOD updates and communicate performance transparently

  • Maintain a clean HubSpot pipeline with updated notes, tasks, stages, and due dates

  • Confirm next-day calls, handle reminders, and support an 80%+ show rate

  • Stay active in Slack, manage ClickUp tasks, and keep all systems updated

  • Lead conversations confidently and move qualified prospects toward booked calls

Expectations

  • Book 60-80 qualified appointments per month across all channels

  • Maintain 80%+ show rate and ensure every appointment meets the qualification checklist

  • Keep CRM systems spotless no missed follow-ups, outdated tasks, or unclear notes

  • Communicate professionally with prospects and represent the agency with integrity

  • Stay proactive: identify gaps, take ownership, and adjust quickly when behind pace

Qualifications Needed

  • 1-2+ years of experience in appointment setting, inbound/outbound SDR, or lead qualification 

  • You must have experience with: HubSpot CRM, Aloware (dialer + SMS), Slack, Google Drive, ClickUp, Instagram DM workflows
  • Ecommerce Agency or Marketing Agency Experience

  • Self-driven, proactive, and motivated by results

Salary & Working Hours

  • Base Salary: $1,500 - $2,000 USD/month

  • Bonuses: $150 commission per closed deal from appointments you set

  • Hours: 40 hours per week, CST timezone
