Virtual Executive Assistant (HubSpot Sales & Workflow)

 Job Description:

We are seeking a highly capable Virtual Executive Assistant (HubSpot Sales and Workflow) to support the setup, optimization, and day to day execution of our business development and sales pipeline processes. This role will focus on using HubSpot to improve lead nurturing, client engagement, and pipeline management by translating internal processes into streamlined and consistent workflows.

The ideal candidate has strong hands on experience in HubSpot CRM, understands sales support operations, and can combine technical execution with process improvement recommendations. This person will help reduce manual work, improve consistency, and ensure our HubSpot setup is aligned with our business growth goals.


Key Responsibilities

  • Manage and build HubSpot sequences, workflows, and automations to support sales and business development efforts.
  • Assist in organizing and maintaining CRM records, pipeline stages, contact segmentation, and lead tracking.
  • Translate internal sales and client engagement processes into structured HubSpot workflows and automation.
  • Support lead nurturing efforts by setting up follow up sequences, task automation, and contact management systems.
  • Help improve pipeline visibility and sales process consistency through accurate setup and ongoing maintenance.
  • Monitor workflow performance and identify opportunities to improve efficiency and reduce manual tasks.
  • Collaborate with internal team members to understand current processes and recommend ways to better structure them in HubSpot.
  • Provide administrative and technical support related to HubSpot CRM, sales activities, and process coordination.
  • Help ensure the team is maximizing the value of HubSpot through organized systems and practical workflow support.

Qualifications

  • Proven experience working as a Virtual Assistant, CRM Assistant, or Sales Support Assistant with strong HubSpot knowledge.
  • Hands on experience with HubSpot CRM, including workflows, sequences, pipelines, contact management, and task automation.
  • Strong understanding of sales support, lead management, and pipeline coordination.
  • Ability to translate business processes into practical CRM workflows and organized systems.
  • Strong attention to detail and ability to maintain accurate CRM records and process consistency.
  • Good communication skills and the ability to work collaboratively with internal stakeholders.
  • Able to balance execution, organization, and process improvement in a fast moving environment.

Ideal Candidate Traits

  • HubSpot certification is a plus.
  • Experience supporting business development, sales operations, or client engagement teams.
  • Experience with process documentation and workflow optimization.
  • Ability to provide both administrative support and light strategic input on system improvements.
