Executive Assistant to CEO

As Executive Assistant to the CEO at Castelion, you'll be the strategic partner who ensures our leadership can focus entirely on developing next-generation defense technologies that protect America and its allies. Working at a defense technology company where precision, security, and flawless execution are paramount, you'll serve as the operational backbone that enables our CEO to drive the mission of deterring future conflicts through superior long-range strike capabilities. This role offers the unique opportunity to directly support national security objectives while working alongside brilliant engineers and executives in a fast-paced, high-stakes environment where your attention to detail and proactive leadership directly impacts our ability to deliver cutting-edge defense solutions.

Responsibilities

  • Executive Operations Management: Manage and optimize the CEOs calendar, including scheduling internal/external meetings, coordinating travel, and managing logistics.
  • Strategic Communication Hub: Act as a gatekeeper and liaison, ensuring clear and timely communication across teams, customers, investors, and government stakeholders.
  • Mission-Critical Project Support: Track and drive execution of high-priority initiatives across engineering, business development, and operations teams.
  • Executive Preparation & Briefings: Support preparation for key meetings, including compiling agendas, briefings, presentations, and notes.
  • Confidential Information Stewardship: Handle highly sensitive and business-critical information with absolute discretion and appropriate security protocols.
  • Event & Meeting Orchestration: Organize team offsites, board meetings, customer visits, and strategic planning sessions.
  • Executive Decision Support: Anticipate needs, resolve issues proactively, and ensure seamless day-to-day operations.

Basic Qualifications

  • 3+ years of direct experience supporting C-level executives in fast-paced, high-stakes environments.
  • Proven ability to manage complex calendars and prioritize scheduling across multiple stakeholders and time zones with accuracy and discretion.
  • Experienced in coordinating travel logistics, including flights, hotels, ground transportation, and agendas.
  • Proficient in managing expense reports and reconciling financial documentation with accuracy and timeliness.
  • Skilled at producing polished support materials such as slide decks, memos, and briefing documents.
  • Expert-level proficiency with tools and technologies that streamline EA responsibilities e.g., Google Workspace (Calendar, Docs, Sheets), Microsoft Office, Slack, Zoom, Expensify, TripActions, Notion, and scheduling tools like Calendly or Motion.
  • Exceptional organizational skills, attention to detail, and follow-through.
  • Calm under pressure and capable of juggling competing priorities and deadlines.
  • Thrives in ambiguous, fast-paced environments; quick to adapt with sound judgment.
  • Mission-driven with a "no task too small" attitude.
  • 100% onsite in Torrance.

Preferred Skills and Experience

  • Previous experience in defense, aerospace, technology, or other mission-critical industries.
  • History of supporting executives through high-growth phases, funding rounds, or strategic initiatives.
  • Experience coordinating with government customers, regulatory bodies, or security-sensitive stakeholders.

Successfully bring in applicable processes/concepts/materials from other industries to achieve efficiency gains.   • Clear Communicator: Proactively communicate blockers. Trusted in previous roles to be voice of company with regulators, suppliers, gate keepers and customers. Capable of tactfully managing relationships with stakeholders to achieve company-desired outcomes without compromising relationships. Emails, IMs and verbal interactions are logical, drive clarity, and detailed enough to eliminate ambiguity.

ITAR Requirements

  • To conform to U.S. Government export regulations, applicant must be a (i) U.S. citizen or national, (ii) U.S. lawful permanent resident (green card holder), (iii) Refugee under 8 U.S.C. § 1157, or (iv) Asylee under 8 U.S.C. § 1158, or be eligible to obtain the required authorizations from the U.S. Department of State.
