Facilities Coordinator

We are seeking a highly proactive, detail-oriented Facilities Coordinator to support the daily operations that create a safe, organized, and welcoming workplace for Castelion employees and visitors. This role is critical to keeping our workplace running smoothly and executing workplace services, supporting employee experience initiatives, and managing key operational vendors. You will support day-to-day workplace execution—balancing routine operational needs with proactive planning as the team grows.

Success in this role requires strong organization, follow-through, and a service mindset—managing multiple workplace priorities, coordinating vendors and events, and maintaining consistent standards across the office. The ideal candidate thrives in fast-paced environments, brings excellent communication and customer service skills, and is comfortable prioritizing competing demands with high attention to detail.

This is a full-time position requiring high flexibility to support day-to-day office operations and occasional events outside standard hours.

Responsibilities

  • Maintain the daily readiness and appearance of office spaces, conference rooms, kitchens, and common areas
  • Conduct routine workplace walkthroughs to identify operational issues and ensure workplace standards are consistently maintained
  • Manage incoming workplace requests and ensure timely resolution or escalation
  • Submit and track Facilities tickets, coordinating with service teams to ensure timely resolution
  • Maintain office supply inventory and coordinate replenishment, including ordering business cards and other operational materials
  • Assist with new hire onboarding by preparing workstations, welcome materials, and office orientation logistics
  • Support employee engagement activities, celebrations, and internal workplace programs
  • Support day-to-day relationships with workplace service vendors, including coffee and beverage services, office supply vendors, and other recurring operational partners
  • Monitor vendor performance, service quality, inventory levels, and adherence to service schedules, escalating issues as needed
  • Support the planning and coordination of catering for small meetings and routine office events, including ordering, delivery coordination, setup, and cleanup
  • Coordinate meeting room setups, catering, and workplace logistics for internal meetings
  • Support workplace logistics for executive visits, recruiting events, customer visits, and employee engagement activities
  • Support the maintenance of workplace documentation, inventory records, and standard operating procedures
  • Support special workplace projects and continuous improvement initiatives

Basic Qualifications

  • 4+ years of experience in workplace operations, office administration, hospitality, facilities coordination, or a related field
  • Strong organizational and time management skills with the ability to prioritize multiple tasks
  • Excellent customer service and communication skills
  • Experience coordinating vendors and workplace services
  • Proficiency in Microsoft Office and Google Workspace
  • Ability to work independently in a fast-paced, high-growth environment

Preferred Skills and Experience

  • Experience supporting offices with 100+ employees
  • Experience coordinating workplace events and catering
  • Experience with inventory management or workplace ticketing systems (e.g., JIRA)
  • Experience in a startup, manufacturing, or aerospace environment
  • Familiarity with badge, access, or basic office security procedures
  • Experience partnering with EHS or facilities teams on office safety needs
