Role Overview
We are hiring an Administrative Assistant on behalf of our client, a U.S.-based company that provides remote services to help families navigate complex government benefit processes. This fully remote, entry-level role is based in Mexico and engaged through UpWork. You will support one of the clients internal teams with administrative and clerical tasks throughout the entire client journey, from onboarding to offboarding.
Key Responsibilities

Download and organize client documents (PDFs, JPGs, etc.) using Google Drive for Desktop

Fill out application forms using Adobe Acrobat or similar PDF editing software

Assemble request packets and documentation in Google Docs and PDF tools

Securely send documents to clients via designated email software

Exchange documentation using online faxing tools

Communicate with clients via email and VOIP phone systems

Liaise with government agencies by phone or email to verify application statuses

Schedule meetings using Google Calendar or Calendly

Take and enter client call notes into the CRM

Send templated client communications using Google Docs and the CRM

Send documents via online mailing services as needed

Distribute feedback and satisfaction surveys to completed clients

Archive outdated files in line with data security protocols

Attend weekly team meetings via Google Meet and complete other administrative tasks
Required Skills & Experience

Entry-level, but prior administrative or clerical experience is a plus

Above-average computer proficiency

Comfortable using Google Drive, Google Calendar, Adobe Acrobat (or similar), and Calendly

Familiarity with VOIP tools, online faxing, and CRM systems is preferred

Excellent attention to detail and organizational skills

Strong written and verbal communication skills in English

Ability to work independently in a remote environment and align with U.S. business hours
Additional Information

Work Location: Fully remote from Mexico

Employment Type: Independent Contractor engaged via UpWork (Any Hire)

Hours: Full-time, Monday - Friday, aligned with U.S. business hours

Billable Hours: 30-40 hours per week, with approximately 25 hours during the first week of training

Contract-to-Hire Path: After six months, high performers may be eligible for an Employer of Record (EOR) arrangement

Equipment: Computer with at least 8GB RAM, noise-canceling headset, high-speed internet, and an external monitor. Tablets are not permitted
