The Billing and Procurement Specialist is a key member of the team, responsible for managing billing, procurement, and administration tasks that keep operations running smoothly. This role focuses on maintaining and updating the internal PSA system, preparing accurate client invoices, and overseeing the full procurement lifecycle from processing purchase requests and placing orders to tracking deliveries and managing RMAs. The Specialist will also provide weekly billing reports, procurement updates, and client satisfaction insights to the VP of Finance.

This position requires superior communication skills to respond quickly and effectively to diverse client needs, focusing on solutions rather than technical explanations. The Specialist will collaborate with executives, managers, and internal teams to ensure accuracy, efficiency, and a positive client experience. Strong business acumen and problem-solving skills are essential for researching and designing solutions that address operational challenges while maintaining exceptional professionalism and client service.

What does your day/week look like?

  • Maintain and update the PSA system (ConnectWise), including agreements, contacts, and automation tools.
  • Prepare and process client invoices (monthly agreements, weekly projects, daily sales orders, and special invoices).
  • Manage procurement lifecycle: process purchase requests, place orders, track deliveries, handle RMAs, and resolve vendor disputes.
  • Receive and inventory equipment, update PSA (ConnectWise) system, and communicate order status to clients and internal teams.
  • Provide weekly billing reports, procurement challenges, and client satisfaction updates to the VP of Finance.
  • Research and design business solutions to address operational challenges and support team members.
  • Maintain high client satisfaction through exceptional service and professional communication.
  • Participate in ongoing training and professional development activities.

Qualifications

Education

  • Associate's degree in finance, Business Administration, Business Technology, or related field preferred but not required.

Business Skills

  • Proficiency in Microsoft Office Suite - M365 is highly preferred 
  • Experience with financial management software such as QuickBooks.
  • Familiarity with PSA tools such as ConnectWise, Halo, or Autotask preferred.

Licenses & Registrations

  • Valid driver's license and proof of automobile insurance.
  • Reliable transportation (car, SUV, pickup, or minivan) for job duties.

Experience

  • 3-4 years of industry equivalent experience in business, procurement, or related field.
  • MSP industry experience highly preferred.
