Reports to: CEO
Location: Richardson, TX
Schedule: Monday–Friday, standard business hours (occasional event-based hours)

Position Overview

We are building a high-performing marketing function and seeking a hands-on coordinator to manage the logistics and execution behind events, content production, and community engagement initiatives.

This is an execution-focused role responsible for coordinating in-person events, webinars, and podcast/video production. The primary goal is to ensure programs run smoothly and consistently by owning operational planning and delivery.

This role is ideal for someone early-to-mid career who thrives on organization, coordination, and execution, and who wants to grow in campaign delivery and B2B demand generation.

Core Responsibilities

Event Planning & Execution (40–45%)
  • Plan and execute monthly in-person business events including venue sourcing, catering, invitations, and day-of coordination

  • Manage logistics such as contracts, A/V, signage, attendee communication, and vendor coordination

  • Track registrations, attendance, and post-event follow-up

  • Maintain marketing and event calendar

  • Track and report event performance and ROI

Podcast, Video & Webinar Production (25–30%)
  • Coordinate guest scheduling, recording logistics, and post-production handoff

  • Ensure presenters and guests are prepared with talking points and equipment readiness

  • Coordinate recording sessions and studio logistics

  • Manage webinar logistics including preparation and live support

  • Track content production pipeline and publishing schedule

Marketing Operations & Campaign Support (20–25%)
  • Support email campaigns, outreach, and contact list management

  • Assist with digital marketing tied to events and lead generation

  • Coordinate marketing materials and sales collateral production

  • Maintain brand consistency across assets

  • Track campaign performance and assist with reporting

Community Engagement & Outreach (10–15%)
  • Identify speaking, panel, and sponsorship opportunities

  • Coordinate co-marketing with strategic partners

  • Support community engagement initiatives

  • Maintain relationships with venues, vendors, and partners

Requirements

Required
  • 2+ years experience in marketing coordination, event coordination, production coordination, communications, or similar

  • Experience planning and executing in-person business events

  • Strong organizational and project management skills

  • Excellent written and verbal communication

  • Comfortable learning and using marketing and collaboration tools

  • Based in the DFW area with ability to work onsite and attend events

  • Self-starter able to manage responsibilities independently

Preferred
  • Experience coordinating podcast or video production

  • Familiarity with CRM or marketing automation platforms

  • B2B or technology industry marketing experience

  • Comfortable moderating conversations or appearing on camera

  • Experience sourcing sponsorships or speaking opportunities
