Governance & Executive Support Coordinator
EDANA, the leading European association for the nonwovens and related industries, is looking for a Governance & Executive Support Coordinator to ensure the smooth functioning of its governance bodies, support effective collaboration across committees and internal teams, and provide executive support to the Managing Director. This role is ideal for someone who is highly organised, proactive, and comfortable coordinating complex, multi-stakeholder processes in an international association environment.
Your role
- Organise and coordinate the Annual General Meeting, Board, Committees, and related governance meetings, including scheduling, invitations, agendas, documentation, and follow-up.
- Attend meetings and prepare accurate minutes, action points, and follow-up communications.
- Coordinate input from multiple directors and teams, ensuring contributions are collected, aligned, and shared in a timely and effective way.
- Support the coordination of projects involving several teams, helping structure the process, monitor timelines, follow up on deliverables, and maintain momentum across contributors.
- Identify bottlenecks, remind stakeholders, suggest practical next steps, and help move work forward across cross-functional groups.
- Maintain accurate governance and group records in the CRM and related collaboration spaces.
- Support legal and administrative follow-up linked to EDANA's governance, including AISBL requirements, statutory records, and publications to the Moniteur belge/Belgisch Staatsblad in coordination with legal counsel.
- Provide administrative support to the Managing Director, including setting up selected meetings.
- Contribute to the smooth running of the office through oversight of meeting logistics and the upkeep of common areas and meeting rooms.
Profile
- Education: Bachelor's degree or equivalent; project management credentials a plus
- Experience: Minimum 3-4 years in governance, executive support, or senior coordination role in an international organization, association, or non-profit environment with experience managing working groups or committees. Experience with AISBL structures and Belgian legal-administrative requirements is highly desirable
- Language skills: English required at professional working level; French or Dutch is a strong asset
- PC skills: Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint); strong experience with document management tools, online collaboration platforms, and CRM systems
- Personal skills:
- Exceptional organizational skills and attention to detail
- Diplomatic and discreet when handling confidential governance matters
- Strong meeting facilitation and minute-taking abilities
- Proactive coordinator who can anticipate needs, drive processes forward, and influence stakeholders without direct authority
- Able to manage complex schedules and competing priorities autonomously
- Strategic thinker who suggests improvements and solutions, not just executes tasks
- Excellent written and verbal communication skills
- Comfortable working with Board members, senior executives, and volunteers in a multilingual, multicultural environment
- Able to navigate multi-stakeholder environments and build consensus
