POSITON NAME: Store Supervisor

STOCK CONTROL:

  • Daily receiving and reconciliation of stock – look for expired stock and checking goods against order / suppliers' invoices. Hand over claims and follow up on finalisation thereof.
  • Ensure that Goods Received Vouchers (GRVs) are issued within a period not exceeding 48 (forty eight) hours after receipt of goods and the maintenance of computerised stock system.
  • Accurate and regular updating of stock quantities where appropriate, including new codes and full descriptions, including Cardex system.
  • Checking and co-ordinating of deliveries – correct despatching of orders and time management.
  • Regular Stock Takes, monthly physical counts and reconciliation of variances.
  • Maintaining minimum stock levels of three weeks (unless otherwise directed), after obtaining competitive quotes and ensuring that no orders are placed without pricing and a manager's signature.

    Administration

    • Provide logistical support to the Procurement department (Purchasing) to ensure that orders are followed through from order to delivery in the fastest possible time.
    • Do all administration and filing relating to the store.
    • Ensure daily delivery sheet for driver and the compliance thereof.
    • Preparing of relevant documentation where applicable such as waybills for outside customers.
    • Printing of Labels.
    • Maintain accurate records of stack transactions.
    • Plan, organise, supervise and participate in the operations, logistic processes and activities of the warehouse.
    • Supervising warehouse personnel for compliance, accuracy, cleanliness and good Housekeeping of warehouse.
    • Maintaining company security provisions for the prevention of stock losses.
    • Handling all enquiries regarding stock.
    • Organising and encouraging teamwork within the warehouse to ensure productivity targets are reached. Train, supervise and evaluate warehouse personnel continuously.
    • Ensure that warehouse space is utilised efficiently.

      Store Supervising/Housekeeping

      • Planning of daily deliveries.
      • Ensure accuracy of all daily deliveries against delivery notes / invoices.
      • Ensuring that all orders for products on hand are delivered within a period not exceeding 24 (twenty four) hours.
      • Ensure that orders of debtors exceeding their credit terms are not executed without management approval.
