POSITION LOCATION: On site

POSITON NAME: Project Administrator

  • Represent the company locally in government institutions, organizations, and with partners.
  • Perform administrative tasks: submit documents, sign, collect, deliver, and represent the company at meetings.
  • Organize meetings, take minutes, and ensure timely information exchange between all parties.
  • Maintain daily communication with management, contractors, consultants, suppliers, and other stakeholders.
  • Manage databases of suppliers, partners, contractors, and keep documentation updated.
  • Coordinate office tasks: documents, contracts, small purchases, logistics, interaction with registries, authorities, and service providers.
  • Ensure complete operational support for management and the team.

Qualifications:

  • Diploma or degree in management, administration, business administration, law, or a related field.
  • Experience as a coordinator, office manager, project assistant, or administrative staff.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Strong understanding of documentation, including contracts, agreements, and formal business correspondence.
  • Excellent communication and business correspondence skills.
  • Confident Microsoft Office user with good digital literacy.
    Fluent English; additional languages are an advantage.
  • High level of independence, accuracy, responsibility, and professionalism.

Special Requirement (Head Office Onboarding):

  • The selected candidate will be required to spend several months working in our Head Office.
    This onboarding period is necessary for the candidate to:
  • Fully understand internal processes, project standards, and corporate communication protocols.
  • Learn the rules and expectations of the main company.
  • After completing this stage, the candidate will relocate to Windhoek for the full project cycle.
