Job Purpose:

We are seeking a highly skilled and detail-oriented Accountant to join our team at Gap Recruitment Services Limited. The ideal candidate should demonstrate strong proficiency in Zoho Books, a solid understanding of Kenyan tax compliance, and a track record in managing multi-entity accounting functions. As the Accountant, you will be responsible for overseeing and executing the full accounting cycle across both our recruitment business and a growing retail pharmacy. This role requires a proactive and analytical professional with excellent reporting skills and the ability to guide junior team members while ensuring financial accuracy and compliance.

Key Responsibilities:

Accounting Management

  • Manage complete end-to-end accounting for both the recruitment business and retail pharmacy
  • Maintain accurate daily financial records and ensure correct journal entries
  • Monitor company expenditures and flag anomalies to management

Bookkeeping & System Oversight

  • Consolidate and update books for each business entity using Zoho Books
  • Perform bank, supplier, and intercompany account reconciliations
  • Ensure the integrity of financial data across all ledgers

Receivables Management

  • Track accounts receivable and follow up with clients to ensure timely payments
  • Maintain updated receivables aging reports and implement credit control measures
  • Liaise with the sales and admin teams to resolve payment-related discrepancies

Tax Compliance

  • Prepare and file statutory returns including VAT, PAYE, NHIF, NSSF, WHT, and Income Tax
  • Ensure timely submission and payment of all government obligations
  • Keep updated on relevant tax legislation and apply best practices

Compliance Calendar

  • Maintain a comprehensive tax and compliance calendar for all statutory deadlines
  • Alert management of upcoming filing or payment dates
  • Keep proper documentation for all returns and submissions

Financial Reporting

  • Generate monthly reports such as Profit & Loss, cash flow, receivables, and payables
  • Analyze trends and variances, and provide actionable insights to management
  • Compile year-end financials for external auditors or stakeholders

Audit & Internal Controls

  • Lead internal audit preparations and support external audit processes
  • Implement and monitor adherence to financial policies and internal control procedures
  • Identify and rectify compliance or process gaps

Team Leadership

  • Supervise and support the accounting assistant and interns
  • Review their work for accuracy and provide ongoing training and mentorship
  • Delegate tasks effectively and ensure timely completion

Business Advisory

  • Provide monthly updates to the CEO on business performance and financial health
  • Offer data-driven insights to support strategic decision-making
  • Highlight risks and opportunities related to cost, cash flow, and operations

Inventory & Stock Support

  • Work with the pharmacy team to monitor and support stock control processes
  • Reconcile inventory records with accounting books
  • Participate in periodic stock audits and valuation assessments

Key Qualifications & Skills:

  • Bachelor's Degree in Accounting, Finance, or a related discipline.
  • CPA-K holder or a finalist.
  • At least 5 years experience in accounting, preferably in a multi-business or group structure.
  • Hands-on experience with Zoho Books is a strong advantage.
  • In-depth knowledge of Kenyan tax regulations and statutory compliance.
  • Strong analytical, organizational, and problem-solving abilities.
  • Excellent communication and interpersonal skills, with the ability to confidently follow up with clients and lead a small team.
  • High level of integrity, accuracy, and attention to detail.
  • Ability to manage competing priorities and work with minimal supervision.

Work Structure:

The accountant will be Nairobi-based, working full-time across both entities. While they will manage all accounting tasks for the recruitment businesses independently, they will oversee and support the accounting assistant handling the pharmacy operations.
