We're seeking an Executive Assistant who is passionate about supporting strategic growth initiatives and contributing to our mission and who aligns with our core values of putting people above everything else and going beyond what’s expected. As our Executive Assistant to the Chief Strategy Officer, you will play a crucial role in optimizing his efficiency and enabling him to focus on strategic initiatives to grow the business.

Some of your responsibilities will include:

  • Manage a shared email inbox daily to maintain a zero inbox
  • Efficiently handle business and personal scheduling
  • Track external commitments and provide executive support in meetings
  • Take notes, track action items, and draft follow-up emails
  • Prepare for speaking engagements and weekly podcast recordings
  • Coordinate logistics for quarterly in-office events
  • Arrange comprehensive travel
  • Handle personal tasks like thank-you cards, acknowledgments, and catering
  • Evaluate and filter inbound messages on email and LinkedIn
  • Research podcast guests for bios, headshots, and questions
  • Organize roundtable events, including attendance, logistics, and catering
  • Manage expense reports from categorization to reimbursement

In addition to these responsibilities, the ideal candidate must be:

  • Excellent and friendly communication skills, both verbal and written
  • Highly organized with meticulous attention to detail and precision in task execution
  • Reliable in fulfilling tasks and responsibilities without needing reminders and follow-up
  • Curious and proactive in asking questions to gain an understanding
  • Ability to anticipate needs and offer solutions proactively
  • Values commitment to follow-through and implementation
  • Adept at translating ideas into actionable steps for completion
  • Flexible, and adaptable, with the ability to handle multiple tasks asynchronously
  • Work independently, efficiently managing tasks and reminders
  • Tech-savvy with the ability to learn new tools and software quickly

You’ll need to be familiar with these tools:

  • Google Workspace (Gmail, Google Calendar, Google Drive, Sheets, Docs)

You’ll need to come ready to learn and be trained on the following tools:

  • Asana
  • Slack
  • Pipedrive
  • Mailchimp

Position Details

  • This is a 1099 Contractor position, with the potential to move to W2 Employee
  • The position will be 15-20 hours per week, with the potential to grow to more hours with the right person and as the need arises
  • Monday through Friday, hours are flexible within standard Eastern business hours and can be determined between you and our CSO
  • You will need to be available to check emails during the day and attend team Zoom meetings twice a week
  • Pay rate is $25/hr. USD
  • We're looking for someone to become a long-term (3+ years) team member.
