Angelina Ardasheva is the Accounting Manager at Delex Air Cargo LLC, a family-owned logistics company specializing in air freight exports. Established in 2000 and based at JFK International Airport, Delex serves clients worldwide through a global partner network. The company handles a wide range of cargo, including eCommerce shipments, medicine, and household goods, with a strong focus on reliable service and strict compliance.

We are seeking a Virtual Assistant who is extremely open-minded and a great listener, capable of working with a big-picture-focused, trust-and-verify management style. You must be detail-oriented, take initiative, and be aligned with our Core Values:

You'll be working directly with the Accounting Manager as her right hand, supporting paperwork and operations so she can stay focused on strategy and leadership. This is a key role in helping build a more scalable and efficient back-end by ensuring day-to-day operations and documentation are fully handled.

Some of your responsibilities will include:

  • Reviewing uploaded documents for compliance and expiration
  • Following up internally to ensure timely document submissions
  • Uploading and organizing paperwork
  • Creating and obtaining reports
  • Sending emails to internal departments
  • Managing and scheduling tasks
  • Monitoring the calendar and adjusting schedules as needed
  • Creating and scheduling social media posts using AI tools

In addition to the above, the ideal candidate must be/have:

  • Highly organized, with a strong attention to detail
  • Reliable and able to stay focused in a fast-moving environment
  • Comfortable working independently and taking ownership of tasks
  • Excellent communication skills, both verbal and written
  • Proactive in sharing what has been done, what still needs to be done, and how it's getting done
  • Comfortable giving feedback if there's a better way to complete a task
  • Able to communicate clearly when instructions are unclear
  • Able to create roadmaps to ensure tasks are completed
  • Trustworthy with confidential information
  • Able to work well with someone who is big-picture focused and hands-off
  • Tech savvy and quick to pick up new tools and software
  • Determined and persistent in following through on tasks and deadlines

Position Details

  • This is a W2 position
  • Benefits include PTO, Sick Time, Paid Holidays, and 401(k) with 3% match
  • The position will be 40 hours per week
  • Hours are Monday - Friday, 9:00 am - 5:00 pm EST
  • The pay rate is $23/hr USD
  • You must be able to pass a background check
  • We're looking for someone to become a long-term (3+ years) team member
