Robbye Kirkpatrick is the Founder of RubiCrown Commercial Real Estate and Development, a Texas-based real estate development firm focused on brokerage investment, project management, and midscale development, and Texas TransformED, a statewide K-12 education reform initiative which includes policy and research initiatives. With deep roots in both the built environment and public policy, she leads multiple ventures that demand clear vision, strong execution, and high standards. We are looking for a Virtual Assistant who thrives in a high-accountability environment where priorities shift, the pace is fast, and the stakes are real. Youll be working behind the scenes to help drive forward commercial real estate projects, public leadership work, and a statewide movement. This is a high-trust role supporting a founder with multiple ventures. It requires someone who can bring order to complexity, easily manage shifting priorities, and act as a steady and sharp right hand to a visionary leader.
Some of your responsibilities will include:
- Manage the founders' email inboxes by drafting responses, flagging important messages, and maintaining organization
- Manage calendar, schedule meetings, and prioritize time across three ventures
- Draft, organize, and format written materials such as memos, decks, emails, and one-pagers
- Coordinate meetings with stakeholders including city officials, donors, and contractors
- Coordinate follow-up action agendas from internal and external meetings
- Set up and manage systems to organize tasks, files, and communication in one streamlined structure
- Consolidate and migrate files from Dropbox and a new digital document storage platform for streamlined operations
- Track deadlines, tasks, and follow-ups across multiple workstreams including real estate, education, partnerships, and content
- Prepare daily or weekly summaries of progress, tasks, and priorities
- Help build and maintain contact lists and CRM data for stakeholders, donors, and supporters
- Support content scheduling, review, and intern oversight to ensure brand consistency and timely delivery across platforms
- Assist with travel planning and logistics for events and meetings
This role also involves working with political donors, elected officials, and other high-level stakeholders. Professionalism, discretion, and self-awareness are essential. You must be comfortable behind the scenes, resistant to outside influence, and polished in both communication and appearance. Robbye values precision in writing, formatting, and presentation. She moves fast, expects clarity and systems thinking, and needs someone who finds real satisfaction in keeping complex operations running smoothly.

Position Details
This is a 1099 contractor position
Benefits include paid time off from Christmas through New Years
The position will be 20 - 25 hours per week
Hours are Monday - Friday, four hours daily with flexibility ideally 9:00 am to 1:00 pm CST
Opportunity for travel (12 days) for events and meetings
The pay rate is $26/hr USD
You must be able to pass a background check
You will need to sign a confidentiality/non-disclosure agreement
We're looking for someone to become a long-term (3+ years) team member
