Katie Lipp is the Owner of The Lipp Law Firm, PC, an employment and business law firm serving clients throughout Washington, DC, Maryland, and Virginia. The firm provides employment law, labor law, corporate law, and intellectual property services to businesses, executives, professionals, and educators. Katie is also a business development consultant who supports law firm owners and entrepreneurs with business growth.

We're looking for a reliable, calm, and proactive Virtual Assistant who communicates clearly, takes detailed notes, and follows through without needing repeated instructions. The right person will be comfortable supporting the Owner and Operations Manager while staying aligned with the firm's core values:

This role is important to keeping communication, scheduling, billing support, and daily administrative work organized. You'll need to confidently manage routine tasks on your own while knowing when a higher stakes matter requires additional guidance.

Some of your responsibilities will include:

  • Managing and organizing the Owner's email inbox and other assigned inboxes
  • Managing the Owner's calendar and coordinating appointments and calls
  • Checking in with the Owner each morning to review tasks and priorities
  • Responding to requests from the Owner, Operations Manager, and other assigned team members
  • Preparing and sending thank you letters to referral partners
  • Entering time submitted by independent contractors into PracticePanther
  • Creating invoices in PracticePanther toward the end of each month
  • Processing client payments through LawPay
  • Uploading bank statements to Dropbox for the bookkeeper
  • Returning calls to potential clients and responding to new inquiries
  • Supporting the team with incoming phone traffic
  • Providing a clear end of day update outlining completed work and open items
  • Keeping detailed notes, instructions, and procedures organized for future use

  • Comfortable working with numbers and handling billing, invoices, and payments
  • Resourceful and able to bring possible solutions and options to the team
  • A strong listener who takes detailed notes and remembers instructions
  • Able to follow written processes and complete routine tasks independently
  • Responsive and able to communicate clearly, directly, and respectfully
  • Good judgment and discretion when handling private legal, client, and financial information
  • Able to manage requests from multiple team members and keep priorities organized
  • You must be tech savvy and quick to pick up new tools and software
  • Previous experience working in a law firm or professional services office is a plus

Position Details

  • This is a remote 1099 contractor position
  • The position will be 15 to 20 hours per week, with the possibility of additional hours as needed
  • Hours are flexible Monday through Friday, with some morning ET availability required
  • Candidates residing in the ET or CT time zones are preferred
  • The pay rate is $30/hr. USD
  • You must be able to pass a background check
  • We are looking for someone to become a long-term (3+ years) team member
