Doug is looking for a proactive and loyal Virtual Executive Assistant who can confidently manage his communication, calendar, and projects while anticipating needs across multiple business units. The right person will align with the company's Core Values:

This role requires someone who thrives in a fast-paced environment, communicates clearly, and manages priorities with independence and discretion. The ideal candidate will maintain consistent availability while being flexible to manage varying daily workloads.

Some of your responsibilities will include:

  • Managing the CEO's email inbox and prioritizing communications
  • Scheduling and maintaining a detailed calendar
  • Preparing meeting documentation, presentations, and follow-up notes
  • Managing projects and tasks in Asana
  • Coordinating and managing internal and external communications
  • Conducting research
  • Booking travel arrangements and handling logistics
  • Assisting with light social media scheduling
  • Maintaining a high level of responsiveness during business hours to ensure timely communication and support across all priorities

As our assistant, you'll play a key role in keeping the CEO organized, prepared, focused, and supported in all aspects of his work. You'll anticipate needs, manage priorities, ensure meetings run smoothly, handle timely email follow-up, and serve as a trusted point of contact to keep communication and operations running efficiently.

Position Details

  • This is a W2 employee position
  • Benefits include: Medical, Dental/Vision, PTO, Sick Time, Paid Holidays, 401k with 3% match
  • The position will be 40 hours per week
  • Hours are: Monday through Friday, 8:00 am - 5:00 pm EST
  • The pay rate is $30 per hour USD
  • You must be able to pass a background check
  • We are looking for someone to become a long-term (3+ years) team member
