Executive Assistant
Job Description:
Role Overview
We are seeking a highly capable Executive Assistant to the CEO to act as the CEOs operational extension. This role is critical in protecting executive bandwidth, enforcing organizational discipline, and ensuring cross-department execution.
The ideal candidate is systems-driven, detail-oriented, and experienced in supporting CEOs in fast-paced, high-accountability environments.
Key Responsibilities
CEO Operational Support
- Manage and prioritize the CEOs schedule, communication, and priorities
- Prepare structured briefs, summaries, and reports
- Filter information and ensure only relevant, actionable items reach the CEO
- Maintain strict confidentiality at all times
System Monitoring & Enforcement
- Monitor workflow dashboards daily (overdue tasks, SLAs, unassigned items)
Follow up with responsible stakeholders until task closure

Enforce system-first communication (no WhatsApp/email bypassing)

Ensure workflow systems remain the single source of truth
Cross-Department Coordination
- Track deliverables across Design, Operations, Procurement, Joinery, Estimation, and Planning
Maintain a clear action tracker (owner, deadline, status, risks)

Escalate non-performance or resistance to systems and processes
Communication & Reporting

Draft and refine internal communications on behalf of the CEO

Facilitate clear, structured cross-department communication

Provide weekly execution status and risk updates
Process & Operational Improvement

Identify recurring inefficiencies and execution gaps

Recommend workflow improvements and accountability enhancements

Support leadership maturity and execution discipline
Ideal Candidate Profile

7–9 years of experience as an Executive Assistant supporting a CEO
Strong systems mindset with the ability to manage multiple parallel priorities

Confident in enforcing accountability and driving follow-ups
