Logistics Administrator
Job Description:
The Logistics Coordinator is responsible for managing logistics-related administration and supporting daily operational activities. The role ensures efficient coordination of transport, documentation, scheduling, and office administration to keep day-to-day operations running smoothly. This position requires a mature, organised individual with strong administrative capability and solid experience in logistics or operations support.
Key Responsibilities
Logistics Administration
- Coordinate daily transport and delivery schedules.
- Capture and maintain logistics records, trip sheets, load documentation, PODs, and mileage.
- Track fleet movements and ensure accurate, timely updates.
- Liaise with drivers, site supervisors, and operational teams to resolve logistical issues.
- Ensure compliance with company logistics procedures and documentation standards.
Operational Coordination
- Support operational staff with scheduling, dispatch planning, and communication.
- Follow up on deliveries, delays, and operational bottlenecks.
- Assist in monitoring vehicle availability, downtime, and maintenance schedules.
- Help maintain smooth workflow between logistics, operations, and administration.
General Office Administration
- Handle office filing, correspondence, scanning, printing, and document management.
- Manage data capturing and maintain spreadsheets, registers, and reports.
- Assist with stock control of office supplies and operational consumables.
- Provide day-to-day administrative support to the site manager and operations team.
Communication & Coordination
- Maintain professional communication with internal teams, drivers, customers, and suppliers.
- Ensure accurate relaying of operational updates.
- Record and escalate operational issues promptly where needed.
Required Skills & Competencies
- Strong organisational and multitasking abilities.
- Good computer literacy, especially with Excel, email, and basic data systems.
- Ability to work under pressure and handle multiple deadlines.
- Solid communication skills and professional telephone etiquette.
- High attention to detail and accuracy in documentation.
- Reliable, punctual, and consistent in routine tasks.
Experience Requirements
- Minimum 5 years experience in logistics coordination, transport admin, or general operations administration.
- Experience working in a fast-paced operational environment.
- Exposure to fleet coordination or dispatch processes is advantageous.
- Experience creating, maintaining, and filing operational documentation.
Qualifications
- Grade 12 (Matric) required.
- Logistics, transport, or admin certificates (advantageous).
- Familiarity with logistics systems or dispatch software is beneficial.
